  4. Pre-word processing • Handwritten • Typewriter • Line editor (e.g. like simple email: without “/edit”) • Features • one line at a time • cannot change previous line • RETURN means end of current line • cannot centre or justify • no control of text fonts, colour, size etc.

Advantages of Word Processing • Neat and tidy copy • Multiple copies • Easy to create new revisions • In a form that can be transmitted using electronic communication (e.g. an email “attatchment”) • Can change order • Much control of form of presentation • Automation of: page numbers, spelling, contents, indexes

  9. Disadvantages of Word Processing • Version control • Software version • Copy version • Loss of individual presentation style • Hard to work with non textual things e.g. pictures, arrows • Must have a computer, printer, electricity • Power cuts! The need for back ups • Easy to PLAGARISE

Word Processing Features • File Management: Many word processors contain file management capabilities that allow you to create, delete, move, and search for files. • Fontspecifications: Allows you to change fonts within a document. For example, you can specify bold, italics, and underlining. Most word processors also let you change the font size and even the typeface. • Footnotes and cross-references: Automates the numbering and placement of footnotes and enables you to easily cross-reference other sections of the document.

  12. Word Processing Features • Graphics: Allows you to embed illustrations and graphs into a document. Some word processors let you create the illustrations within the word processor; others let you insert an illustration produced by a different program. • Headers, footers , and page numbering: Allows you to specify customized headers and footers that the word processor will put at the top and bottom of every page. The word processor automatically keeps track of page numbers so that the correct number appears on each page. • Layout: Allows you to specify different margins within a single document and to specify various methods for indenting paragraphs.

  13. Word Processing Features • macros : A macro is a character or word that represents a series of keystrokes. The keystrokes can represent text or commands. The ability to define macros allows you to save yourself a lot of time by replacing common combinations of keystrokes. • merges: Allows you to merge text from one file into another file. This is particularly useful for generating many files that have the same format but different data. Generating mailing labels is the classic example of using merges. • spell checker : A utility that allows you to check the spelling of words. It will highlight any words that it does not recognize.

Word Processing Features • Tables of contents and indexes: Allows you to automatically create a table of contents and index based on special codes that you insert in the document. • Thesaurus: A built-in thesaurus that allows you to search for synonyms without leaving the word processor. • Windows: Allows you to edit two or more documents at the same time. Each document appears in a separate window. This is particularly valuable when working on a large project that consists of several different files. • WYSIWYG(what you see is what you get): With WYSIWYG, a document appears on the display screen exactly as it will look when printed.

  18. Desk Top Publishing (DTP) • Desk Top Publishing (DTP) packages are used to produce high quality documents without going to a professional printer. DTP can be used to produce pages that combine text and pictures for leaflets, posters or magazines.

  22. Advantages of DTP • There is more control over the way text is arranged and formatted. • DTP can be used to bring lots of different files together on the same document. You can import images into a DTP document from a scanner, graphics from a drawing package, frames from a video camera and text from a word processor .

  23. Advantages of DTP • DTP may be used to produce the output in a certain way so that material can be professionally printed. Quark Express or PageMaker are professional DTP packages that have this option

  26. Difference between WP and DTP DTP and word processing are in many respects similar but there are a number of distinct advantages of using DTP. Here are some: • There is more control over the way text is arranged and formatted. i.e. finer control over layout. • In word processors you work in pages. In DTP you will need to be able to work in pages, frames and columns. • DTP can be used to bring lots of different files together on the same document. You can import images into a DTP document from a scanner, graphics from a drawing package, frames from a video camera and text from a word processor .

  27. Extension Exercise • Think of producing a front page for a newsletter in Word and then in Publisher. Make notes about which was the easier one to use.
