  1. UM-Helena College of Technology Faculty Toolkit Orientation

  2. What is the Faculty Toolkit? • It is the tool you use for finding information on your courses • It is the method used for you to access your class roster • It is the tool you use to turn in grades

  3. What information do I need to use the toolkit? • In order to use the toolkit you will need to have the following: • Internet Access • Your Employee ID Number (this number can be obtained from HR or the Registrar’s Office and begins with 790) • Your PIN Number (the first time you log in it will be the last six digits of your 790 number)

  4. Start at the UM-Helena Homepage www.umhelena.edu.Scroll over the faculty/staff link on the navigation bar and click Faculty Toolkit on the dropdown that pops up.

  5. This will bring you to the login screen. Your User ID will be your 790 employee number. Your PIN is the last six digits of the employee number, if it the first time you are logging in. If you have logged in before, it is a six-digit number you have chosen. If you have forgotten that number hit the Forgot PIN button.

  6. If this is the first time you have logged in you will be prompted to change your PIN to new six digit number. Once you have completed that it will ask you to input a security question in case you forget your PIN.

  7. A warning page will appear with information about student’s rights to privacy. It reminds you that much of the information you are about to see is confidential. Just click the button labeled continue to indicate you have read it.

  8. This will bring you to the main menu. Click on Faculty Services in order to access your information for your courses.

  9. To view your class roster click on “Summary Class List”. You will need to select the current term, click on the pull down arrow, select the current term, and click to submit. You will then have to select the course you would like to look at and hit submit.

  10. This will lead you to the list of students registered for the course. It will also give you information such as the CRN (course request number), enrollment count, and current classroom assignment. You can copy this information and paste it into Excel if you keep your grades in Excel.

  11. Information on the Summary Class List • The summary class list has a lot of information on the students that are registered for your course. • If you click on a students name you will be able to access their contact information. • Some student’s may be labeled as Confidential. These students have asked that no directory information be released on them. • You can also see the student’s registration status. This will show if a student has withdrawn from your course.

  12. Now we can look at the Final Grade Worksheet. You can access this screen through any link that says “Final Grades”. This screen is the way all instructors turn in their grades. The screen uses a drop down in order to enter grades. Make sure that you click outside of the drop down before you scroll down the screen.

  13. Once you have submitted your grades make sure to click submit at the end. There is a 30 minute time limit on the screen, so you must hit submit before 30 minutes is up. You can hit submit and then continue on with entering information.
