Join us for a half-hour presentation on a new addition to the Elementary Scheduling menu, still awaiting its release date. This session will detail the elementary scheduling process, which organizes timetabling for student groups sharing homerooms. We will cover setup preparation, staff and room changes, course requirements, and conflict resolution within the scheduling framework. A downloadable PPT and a recorded version will be available in the Repository by the week’s end. Questions can be asked at the end of the presentation.

What is Elementary Scheduling? • Elementary scheduling is the term used to describe timetabling where a group of students generally take all their classes (subjects) as a group. • These groups of students share the same homeroom.
Process Overview • The elementary scheduling process consists of three major phases: • Entering the scheduling parameters • Building the School Timetable • Resolving any conflicts between parameters and the build
Phase 1 – Set Up/Initial Preparation • Initialize scheduling • Add new students for next year (pre-registrants) • Change the Enrolment Status and Next Year’s grade for specific students
Phase 1 – Set Up/Initial Preparation • School Set Up for Next Year • Make changes to the Staff Records • Make changes to Next Year’s Rooms/Homerooms File • Make changes to Next Year’s Courses File • Make changes to Next Year’s Classes File
School Set Up for Next Year • Within the Elementary frame, specify Lunch Periods to be assigned to homerooms using the elementary schedule. • As well, Breaks (i.e. recess) may be assigned to such homerooms. Please note, to indicate multiple lunch and/or break options, be sure to press on the Empty button within the select set up area.
Staff Records • Restrictions may be indicated within the Staff Record by using the Restrictions button located on the Timetable Tab. This is a very useful feature to indicate when staff are not available to teach a class for varying reasons (i.e. prep time, part time morning only teacher).
Next Year’s Rooms/Homerooms File • HmRm Restrictions are used to if there are restrictions that are specific to this teacher’s group of students. • Restrictions are specific to the particular physical room. (Typically, rooms/homerooms would not have any restrictions on them) • Indicate if the homeroom has a Lunch Period and/or Break Periods from the drop downs.
Next Year’s Courses File • Course Requirements are essential to the Elementary Scheduling process. These settings are critical to ensure that the subject will be scheduled appropriately. • Number of periods required • Limit number of periods per day • Consecutive periods required
Phase 2 – Automatically Build the Timetable • Automatically build the timetable using Master Builder
Phase 3 – Resolve Timetable Conflicts/Issues • Analyze Master Builder results and adjust accordingly • Examine Course Requirements • Examine Class placements and any Restrictions
Phase 4 – Final Details • Assign Student Homerooms and Classes • Print Scheduling information • Finish off the current school year • Transfer to Current • Create/Update new School Calendar
