  5. Booking Extra Rooms or Sports Facilities • All bookings need to be made via your site-specific Activities Co-ordinator • To book University rooms or sports facilities you will need to fill out a University booking form – there are different ones for rooms, Beaconside Sports Centre & Sir Stanley Matthews Sports Centre. • Please fill in these forms in full – the University won’t accept unfinished forms. • If you are wanting to book sports facilities you will need to check with the sports centre first whether the facilities are free – we do not have all the information on bookings so please do check. • Forms are then sent to the Activities Co-ordinator (Michelle for Stafford & Tommy for Stoke) who will make the booking. • You will receive confirmations from either the Activities department or University Room Bookings.

  6. Equipment Inventories • As everything bought from club or society accounts is technically property of the Students’ Union, we need to keep a record of what equipment is owned. • The equipment inventory is a simple excel spreadsheet that you will need to fill in. It can be found in the Committee Handbook on the Union website. • Equipment inventories need to be submitted before October, and you must update them every time you purchase new equipment • Forms should be sent to activities@staffs.ac.uk so we can keep a central record of what is owned by groups. • If your group does not own any equipment then please email before October and confirm that no equipment is owned. http://staffsunion.com/pageassets/activities/handbook/Inventory-Template.xls

Social Media We recommend you use social media to publicise your group • Facebook & Twitter are the most popular outlets. • You can communicate between members, or out to prospective members. • Remember you are posting on a public platform. • You can also use One Media Group to relay information. • Student Activities on Social Media • Facebook – “Student-Activities Staffs” www.facebook.com/staffsactivities • Twitter – http://twitter.com/unionactivities • We often communicate information out through this way as well as via e-mail • Also send out information from NGBs and things of interest. • You, or your members, can contact us with quick questions this way!
