Are you receiving UTC’s electronically from FHP? Is your office using that data?
FHP’s Uniform Traffic Citation Data • Currently all of FHP’s UTC’s are being exported electronically to F.A.C.C. nightly by our vendor. • This process ensures accurate data passes down to the clerk’s offices. • Errors are corrected before they get to the clerk’s office. • Edit rules on the UTC software facilitates minimal errors. • Must use the most current ICD.

Clerk’s Offices Obstacles • Court Records Management Software (RMS). • Updates to the current systems that doesn’t cause issues with other work flows. • Pending vendor changes/upgrades. • Manpower. • I.T. Recourses. • Not a hard copy of the UTC. • Others.
Portable Document Format (PDF’s) • FHP can send to you each day a file electronically with all of the PDF’s of UTC’s written within your county by FHP. • This would be in addition to your data from FACC. • What’s required for this process to work? • An FTP site is required to place the file on each day. • It must be a PDF file format not in a TIF file format. • FHP’s vendor has agreed to work with your I.T. folks to set up the files being received. • No cost to you!!! • Palm Beach County currently prescribes to this service.
Portable Document Format (PDF’s) • When the PDF hits your office daily you can process the UTC’s faster. • You will have a hard copy for scanning if needed. • You will not be depended on the paper copy getting to your office within 5 days. • We are seeing consistently throughout the state that the paper transmittal within 5 days is not being accomplished. • The PDF process saves money and time.
Portable Document Format (PDF’s) • PDF’s of UTC’s will only be sent to you for infractions when court is not required. • All UTC’s that require a signature/court will be transmitted to the clerk’s office in paper form. • Witness lists for UTC’s will still be sent to you in paper form. FHP accomplishes this by sending over the officers copy of the UTC.
