  2. 1 Maximo at Loy Yang B • Loy Yang B uses the full suite of Maximo Applications with the exception of HSE, metering, condition monitoring and IT. • LYB have also implemented a number of enhancements and configurations to existing applications to ensure users are “steered” on a particular path depending on the action required. • We have also written a number of our own custom applications which are fully integrated with existing applications.   3. 1 Maximo at Loy Yang B • These include: • Multiple levels/nesting of delegations of authority • Change Management for outages • Plant Modification application to address regulatory and audit requirements • Electronic Stock Proposal • Purchase Order Accruals GDF SUEZ Australian Energy – Loy Yang B Power Station

  5. 2 Workflow • Workflow is used extensively to reflect the business processes and to direct/redirect the record through the correct path and authorization process • We do not use manual status change at all. • MAXIMO at Loy Yang B is utilized for the whole expenditure process. • Once the Work Order is approved via workflow a Purchase Requisition is system generated and approved. • Following issue and then receipting against the Purchase Order, Maximo again uses workflow to approve invoices against the Purchase Order.   6. 2 Workflow (continued) • Used for Recipient Created Tax Invoices for external labor which are created by the responsible user in Labor Reporting. • This application alone contains considerable “behind the scenes” enhanced functionality. • The RCTI is then workflowed through an authorization process to approval.   7. 3 Impact on an Upgrade • The drawback to all this enhanced functionality in making Maximo “numpty proof” ?? – the testing! • Work Order Approval - 120 different workflow nodes to check • Work Order Cancel - 70 odd workflow nodes to check • The testing regime has to be “bullet proof” • Fortunately/unfortunately (depends on whose point of view) this is my role.   8. 4 Identify, map and track the applications/modules tests: • Use the GO TO, Select Action menus as a mud map in identifying the applications/modules to be tested • You need an overall master test plan to manage the project (LYB used Excel) GDF SUEZ Australian Energy – Loy Yang B Power Station

  9. 5 Identify, classify and document the tests required: • Functionality - Verification of each application screen, tab layout or row Application Functionality • Processes - Identify how each application integrates with your specific workflow (if used) and your own business processes Application Processes GDF SUEZ Australian Energy – Loy Yang B Power Station

  10. 5 Identify, classify and document the tests required (continued): • Reports - BIRT, MS Query, Actuate, Cognos, etc • Interfaces with external systems - Financial, Companies, etc • Escalations, cron tasks and stored procedures GDF SUEZ Australian Energy – Loy Yang B Power Station

  11. 6 Create the Test Plans for each individual process/sub-set: • Create detailed “Step by Step” instructional test plans Inherit Status Change Functionality Cancel a Work Order • This initial process actually completes a preliminary test and will pick up any major issues.   12. 6 Test Plans (continued): • Tests need to be based on roles and need to cover your whole system: • Individual application sub-processes • Specific business processes • Individual workflow processes • “Go to Whoa” application process test • “Go to Whoa” process testing across multiple records, applications/modules • Alternative tests - there is more than one way to “skin a cat” GDF SUEZ Australian Energy – Loy Yang B Power Station

  13. 7 “Super User” Testing: • Identify your “Test” team and keep them informed of the schedule and potential delays • Provide detailed instructions on what is involved in the testing process and what is expected. • “Go to Whoa” testing - multiple users, multiple records, across multiple applications/modules. • TEST, TEST & TEST!!   14. 8 Training: • Tailor training to specific user groups - one size does NOT fit all. • Delivering training utilising in-house resources means you can have smaller groups that are catered for within their own work environment, including shift personnel. • Use screen dumps wherever possible - one picture is worth a thousand words. • Providing “inducements” eg morning/afternoon tea attracts 90% of your target group - money well spent • Follow-up training sessions after the “Go Live” date to pick up laggards.   15. 9 LYB Implementation – the Results! • Five months from deployment of the Test database to implementation • Two internal employees (still undertaking the normal Maximo workload) and one external contractor. • 528 test plans created and/or reviewed • 1270 tests completed - 65% of these were repeat tests as a result of issues found GDF SUEZ Australian Energy – Loy Yang B Power Station

(continued) • 1780 man hours spent on testing and rectification • 120 man hours spent testing by Super Users • Training provided by Maximo Support Officer • Following “Go Live”, only one system restart within the first eight weeks GDF SUEZ Australian Energy – Loy Yang B Power Station

  17. 10 Lessons Learnt • Don’t rush in to implementing the latest release. Six to 12 months in the market place irons out any significant “bugs”. • More hands on resources during the testing phase will prevent personnel fatigue and stress. • Choose your Maximo third party contractor on experience - not price. You get what you pay for !! • Once you have your test plans created, look at automating them for future upgrades ! GDF SUEZ Australian Energy – Loy Yang B Power Station
