How does Project Pilot benefit RMIT? • The implementation of an integrated travel system and streamlined travel procedures will substantially eliminate manual and multiple processing of travel requests and enhance the approval process. • RMIT travellers will be able to directly place requests for domestic and international travel. • Up-to-date online traveller information and itineraries will be stored in the system to ensure the well-being of all RMIT staff and students can be accurately monitored while they are travelling, and 'duty of care' obligations are met. • All travel requisitioning and 'duty of care' requirements will be automatically sent, via workflow functionality, to external providers such as SOS and DFAT. • The approval process will be automated through workflow functionality and linked to travel providers for cost estimates and bookings. • Automatic posting of travel data into the pre-determined internal orders within SAP - adhering to the organisational chart structure, improving both efficiency and accuracy. • Data will be directly captured for cost management and reporting purposes. What is the status of Project Pilot? • The revised Travel Policy is currently in the process of being approved. • The Steering Committee has been formed and the ‘Terms of Reference’ agreed. • The Change Management Strategy has been completed and all stakeholders identified - initial engagement and communication has taken place. • The Training Needs Analysis has been completed and the Training Course curriculum confirmed. • An updated Trobexis.com testing environment has been delivered to the project team. • Participants for the pilot group (user acceptance testing) have been identified and will be invited to take part in the program. What are the next steps? • Obtain approval of the revised Travel Policy. • Confirm all specifications and configuration adjustments to the Trobexis.com system. • Launch and run the pilot program in the second week of September. • Conduct Project Pilot Training in October and November.
