How will Work Transition to the New GSMP How to Participate in the GSMP Day 2 How to Participate in the GSMP (Continued) Local Community Network Industry Engagement What is the GS1 Intellectual Property Policy?
  3. Welcome to the New GSMP “...congratulations to all involved for their outstanding work in creating a new and integrated standards development process.”
  4. Preamble The Global Standards Management Process (GSMP) is the global forum for users to bring business needs that require standard based solutions to create a more efficient Supply Chain. Specifically, the GSMP provides a comprehensive set of methods and rules allowing GS1 Community and affected industry groups to submit their needs and lead in the creation of globally agreed standards and guidelines. This version of the GSMP represents an integration of the processes that were previously referred to as GSMP and EPCglobal SDP. As such, this version of the GSMP is the only GS1 standards development process and it applies to ALL published GS1 Standards (EPC, GDSN, Barcodes, eCom, etc.). The GSMP supports ALL sectors in GS1. Motivated users must be willing to commit their resources towards development and implementation. This will allow the process to prioritise what is most important and will enhance the current global supply chain by focusing on those standards that have the most impact in the shortest amount of time.
  5. Manual Comment Status and Next Steps 337 Comments Received 252 resolutions prior to Issue #1 85 deferred Progress since 29 additional comments resolved (by clarification or changes) Submitters notified POC to approve Open Comments: 56 remain open Submitter will contacted with or for resolution Unresolved will be brought to governance Next Publication

  31. Questions?

  32. How does the GSMP ProcessWork?

  33. New GSMP 4-Step Process Single development process across GS1 Common process for standards, guidelines Leverage the best practices across GS1 Ensure industry and technical expertise Will ensure guiding principles of GS1 are maintained (GSMP and EPCglobal SDP)
  34. Work Requests (WR) 1 4 2 3 Entry point into the GSMP process Transparency and visibility throughout the whole process Statement of Business Need…Clarity to community on the problem to be solved Development WR Central Operations Central Operations & POC Work Groups SBN Charter W Knobs Development WR WR Standards Maintenance Groups Maintenance WR
  35. How DO We Ensure a Robust Solution?…By Defining the NEED! 1 4 2 3 Current Scenario Assumptions Out Of Scope BRAD Proposed Scenario Dependencies Challenges
  36. What is a BRAD? Provides documentation to satisfy business needs Processes User requirements Business Rules Contains all background information needed to create a business solution It is not a Solutions Document
  37. Standards Development Documentation
  38. Levels of Granularity Executive Overview Scope Processes Rules and Requirements
  39. Executive Overview – Section 1 Provides a high-level view of the problem that the group is trying to solve, why it is a problem, and the proposed solution. Business Opportunity/ Business Needs – Why? Window of Opportunity – When? Business Intention – What? Business Justification – ROI Audience – Who Does not include requirements, processes, or rules and should avoid technical terms.
  40. Business Justification States the business case for the solution. Specifies the tangible benefits that will be achieved by creating and implementing the proposed solution. “The ECR Europe report describes the benefits of integration between manufactures and material suppliers in the upstream CPG supply chain based on several business cases as follows”: reduction of inventory levels of up to 40% reduction of administrative costs 30% reduction of lead times of up to 40% reduction of production costs of up to 6% service level approaching 100%”
  41. Scope - Section 3 Scope is important both in framing the subject matter of the requirements gathering session and as a means to better test the solution against the requirements. Scope must include: the area of applicability of the standard (for example industry, process, geopolitical area). any limitations on the content or application of the standard. In Scope / Subsequent Phase / Out of Scope
  42. Scope Narrative In Scope Functionality that will be handled in the BRAD. Out of Scope Functionality that may be tangentially relevant but is handled by other processes or are viewed as non-essential to this process. If something is out of scope, you should give a reason.
  43. Business Process Analysis - Section 6 What is a business process? “a set of logically related business activities” Goal of Business Process Analysis: is to identify and analyze the collection of Activities Actors Inputs / Outputs
  44. Implementation Considerations – Section 11 A placeholder for further information that may help the user understand the issues and solutions within the BRAD’s scope. This section is unstructured. The Analyst should make every effort to place information in the more structured sections of the BRAD before adding information to this section. Rule: Do not place redundant information in this section as it makes it very difficult to maintain the document.
  45. How Can We Develop With Quality? 1 4 2 3 Expertise SMG or Work Group develops the Standard Community Review includes related SMGs, Architecture Group and GSMP Community as a whole Prototype or Pilot (optional) Architecture Methodology
  46. Can The GSMP Improve Deliver to the Member Organization Community? 1 4 2 3 Additional Collateral Webinars / Training / Newsletters / Bulletins Conformance and Certification Impact Analysis Ratification by Management Board Standards Collateral Material Confirm Additional Collateral Implementation Plan and Impact Analysis eBallot Ratification IP Review BCS POC
  47. Work Requests and Work Orders Work Requests (WR) are submitted by the community to request new standards or modify existing standards WRs becomes Work Orders (WO) when work is initiated in GSMP Step 2 (Requirements).
  48. Mission Specific Work Groups
  49. Document Maturity Levels
  50. Document Maturity Types & Associated Process Step
  51. GSMP Voting All GSMP members are eligible to vote Process-mandated voice motions: Moves work from step to step Subject to participation minimums - if not met, virtual motion required Community eBallot: Progresses draft requirements and standard forward
  52. GSMP Voting GSMP minimums take the following form: A minimum of 12 organizations must participate. In addition, a minimum balance (“2-2-2”) of: 2 MOs 2 End Users from one side of the trading relationship 2 End Users from the other side of the trading relationship If a particular work effort requires unique minimums, they will be defined in in the Working Group Charter
  53. Summary of Changes
  54. Q&Q Where in the process are we validating work requests and prioritizing them WRs are prioritized by IE groups after WR submission. (to be further discussed in IE session) What happens if my request needs further input You are contacted for the additional information by Eileen or proxy. Do I have a role in the process You are a member, you vote in both the standards approval and prioritization by the creation of an SBN. You support your members, so you help them on board into GSMP. You participate in governance to help make decisions on the process. Can I influence the process? Same as above What if the timeline is 2 years away, what happens to my need? Global prioritization will result in some items being considered more important than others. This decision will be documented and made with rationale. Providing awareness of rationale and status are important to manage the local community and expectation. When I enter a work order, where will it go? GSMP development process is clear, but more clarification is needed for IE. Clarity for cross sectoral need? How long will it take? Work efforts are dependent on the difficulty of the subject matter, the depth and breadth. The project charter will define the timeline that will be agreed upon. Timelines are within the scope of the group to modify. How can I track the process? The work request system has the step status document along with the group the request resides in. If more information is needed, contact the process manager. What is happening about solutions/services development? Sally has created a team to adapt the current GSMP methodology to solutions/services. How do policies and strategies interact with GSMP? For example, there is an eCom strategy and a GDSN roadmap, do they support the GSMP or constrain them? The group pointed to concerns it appears that past organization roles are being maintained especially in the area of strategy development which seems to undermine the benefits of OE. Unanswered
  55. Questions?

  56. How will work transition into the New GSMP?

  57. Work Transition GSMP - existing Work-in-Progress EPCglobal - existing Work-in-Progress New GSMP 19-April 2010
  58. Work Transition for Maintenance Changes Simple (Maintenance) Work Requests submitted into the current GSMP will continue to be processed in the current GSMP model by the Business Requirements Groups (BRGs) until the analogous Standards Maintenance Group (SMG) in the new model achieves a critical mass of GS1 IP Policy signatories. GSMP BRG - existing Work-in-Progress New GSMP 19-April 2010 The institution of the GS1 IP Policy in the new process will play a key role in determining WHEN any group is considered operational. Each SMG must have an Opted-In membership of sufficient size to represent a valid minimum of the community voice in the creation of the standard. The determination of what is a “valid minimum” will be made by the Process Oversight Committee (POC).
  59. GSMP Existing Work-in-Progress Working Group Participation Requirements Current members or new members are NOT required to sign the GS1 IP Policy*. * Exception: The GSMP Multiple Barcodes Work Group requires the GS1 IP Policy and MBC Opt-In. Members of EPC & GSMP: Get ready for the new GSMP now! New groups are forming soon. EPCglobal Existing Work-in-Progress Current members have signed the existing EPCglobal IP Policy and applicable Opt-In (no action required). New members must sign the GS1 IP Policy and GS1 to EPC Acknowledgment form and applicable Opt-In New GSMP Working Groups All members who have NOT previously signed an IP Policy are required to sign the GS1 IP Policy and applicable Opt-In All members who have previously signed an EPCglobal or GS1 MobileCom IP Policy are required to sign an Acknowledgement Form and applicable Opt-In. *Exception: TDTS MSWG participation requirements are the same as EPCglobal existing work-in-process. 19-April-2010

  64. Local Community Network

  65. Question: What is the new LCN Mission? When local communities participate in standards development, global standards are improved LCNP expands the New GSMP with coordination and communication of standards development to the local communities through the support of MOs. Mission Engage local supply chain experts in standards development despite the barriers of organization size, culture, language and time zone.
  66. Bridge the barriers of time zone, language, culture and local business practices Recast in light of new IP and community voting model
  67. GSMP & LCN, Before and After… GSMP & LCN, After GSMP & LCN, Before
  68. How Do IP and Community Voting Change MO Local Community Participation in GSMP? LCN Member Participation Was No IP No Voting Did not participate in Community Review Did not participation in working groups Did not participate in the development of standards Local Community Member Participation Is Must sign IP Can Vote Can Participate in Community Review Can Participation in the development of standards and IG The value of MO Member Support increases under the New GSMP

  84. GS1 Industry Engagement Introduction

Version 7 25th June 2010 Ian Robertson Hosted by
  85. Welcome & Overview What is the purpose of Industry Engagement? What is the structure of Industry Engagement? How is Industry Engagement governed? How do the Industry Engagement processes work? How to participate in Industry Engagement? How will work transition into the new Industry Engagement processes? Two views - one process
  86. Preamble Industry Engagement provides a global focus on industries that GS1 provides standards, services & solutions for on a global basis It's an opportunity to define and validate industry's needs before developing solutions to those needs But it also provides an opportunity to identify where global industry specific or generic solutions are needed And it provides support, training, a help desk and support materials for all MO's for all industries that GS1 serves It has a close partnership with System Development and together they form a single integrated, cohesive process for our members
  87. What Is The Purpose of Industry Engagement?

  88. Industry Engagement Roots It emerged from the Joint Boards Meeting of the 2nd of October 2008 that established the principles for what became known as "the Chicago Meeting Proposal "That became the Organisational Effectiveness program Principle #1 - Provide an integrated face to all sectors and industries We needed a team to representGS1 to industry at a global level And to represent industry at a global level to GS1
  89. Industry Engagement Pillars System Development Industry Members & Associations Member Organisations Other Teams Such as EPC & GDSN Boards & BCS
  90. Some IE Founding Principles ... MO's are responsible for the account relationship between GS1 and their end user community … Global industry strategic guidance and coordination) is the responsibility of GO IE team … Any ‘IE team’ must have an active and appropriate MO participation & commitment … IE engagement plans must adapt to the way its key stakeholders are organised … GS1 Global Office development efforts driven by user needs (often represented by MO's) etc…
  91. Industry Engagement's Charter Manage GS1 interface to industries at a global/multi-country level, with full involvement and support of MOs Develop industry plans/roadmaps, synchronised with other GS1 teams Provide guidance on proper use & implementation of GS1 standards Drive development of specific industry solutions and services Accountable for creation of future direction and forward looking standards Act in an advisory capacity on industry matters to the GS1 Leadership Team and Management Board Identify prioritized needs of industries relevant to the work of GS1 Work with Strategic Alliances identifying opportunities for industry solutions Assist MO’s, when requested, to help their members implement GS1 standards, services or solutions

  99. Defining Industry's Needs Through an IUG

  100. Defining Industry's Needs Industry Regulators ICAO Member Organisations MO's Industry Members Industry Solution Providers System Development Carrefour Woolworths Johnson & Johnson etc. SAP GSMP AIDC eCom
  101. Industry Engagement Structure Consumer Electronics Retail Value Chain Healthcare Transportation & Logistics Solutions MO Support Cross Border Implemntatn Guidelines Global Traceability Training Inventory Management Patient Standards Some needs span more than one industry Each industry has a GS1 Global Office Industry User Group (IUG) that carries out the work that Industry Engagement is chartered to do with industry: Industry Specific solutions may also span more than one industry Yard Management Warranty Management Mobile Commerce Help Desk Strategic Planning For defining specific business needs, a Business Needs Group (BNG) is formed and exists as long as needed to complete that specific work And MO's must be properly supported in helping their members adopt & use GS1 offerings Mo bile Commerce Track & Trace Functionality crosses all industries Sometimes, the entire IUG will work on a specific need, in which case the IUG is effectively the BNG Training & Support for all industries and all MO's
  102. Defining Industry's Needs Each industry has a GS1 Global Office Industry User Group (IUG) that carries out the work that Industry Engagement is chartered to do with industry: For defining specific business needs, a Business Needs Group (BNG) is formed and exists as long as needed to complete that specific work Sometimes, the entire IUG will work on a specific need, in which case the IUG is effectively the BNG Where common needs cross industries then either an IUG will lead for all industries or a cross industry BNG will be formed
  103. What Is An "Industry User Group?"

  104. An Industry User Group An Industry User Group (IUG) is how GS1 engages with organizations in a particular industry sector or group of sectors. It brings together industry stakeholders to discuss and identify common inddustry needs that may be addressed by the GS1 System. It also help its industry to understand & adopt relevant parts of the GS1 System. It may also identify areas of industry business need not currently addressed by the GS1 System, but could be addressed by enhancing the GS1 System Identification of unmet business needs may lead to enhancing the GS1 System through the Statement of Business Need (SBN)
  105. How Does An IUG Work? Any GS1 member in good standing can join an IUG Every IUG has a Charter that is ratified by the Industry Engagement Advisory Committee (IEAC) Since only business needs are identified and defined, then there is no requirement for the GS1 IP Policy to apply to IUG's An IUG normally has two Co-Chairs, elected by the IUG members to serve for a period of two years IUG procedures are contained in the Industry Engagement Guide The Board Committee for Standards (BCS) is responsible for ensuring that IUG's follow due process
  106. Defining Business Needs 1 4 2 Projected Benefits 3 Challenges Current Scenario BusinessProcesses SBN SD Advice Dependencies Resource Planning Gather and Analyze Needs SBN Out Of Scope Complex WO IUG Approval Community System Dev IEAC
  107. What's In That "Statement of Business Need" ?……

  108. Why Have A SBN At All? The SBN is designed to answer some critical questions before GS1 and our community commit to development In our prior environment these questions were often left to much later in the process and sometimes not asked at all Yet knowing up front as much as possible about industry's needs and commitment to use what we develop reduces efficiency and effectiveness in using our resources
  109. Questions Posed In The SBN How can GS1 help? What processes will be impacted? How will we know that we did help? Before we develop anything….. What's the business rationale? How will what we develop be used? Will it be cost effective? Who do we need to develop it?
  110. What Does An SBN Look Like? Introduction Business Justification (why do this at all?) IndustryProcessFlow(what processes are impacted?) Problem/ Opportunity Analysis (how can we help?) Opportunity Potential Industry Benefits Probable Costs Incurred Geographic Scope Possible Solutions Dependencies SuccessMeasures(how will we know that we did help?) Industry Dates Key Performance Indicators

General Principles Proposed Skill Set Participants List Costs & Resources Appendix (will it be cost effective?) Financial Impact on GS1 Proposed Personnel Support Total GS1 Global Office Staff Requirement
  113. What Happens To The SBN? It forms the basis of everything that follows in terms of development And triggers the start of the New GSMP development processes While acting as a constant reference point to ensure we remain on the path of developing what is really needed And finally, it forms part of our due process, overseen by the BCS, to ensure we have acted impartially and according to our agreed procedures
  114. GSMP 4 Step Process 1 Statement of BusinessNeed 4 2 Requirements Analysis Deployment 3 System Development
  115. IE & SD Process - Simplified GS1 Member Industry Engagement Industry User Group (IUG) 3 YP, 1 YP, Road Maps Work Request Develop Statement of Business Need (SBN) Development Maintenance GDSNBoard Industry Engagement Advisory Committee (IEAC) EPC Board GS1 LT System Development Requirements Development (Standards, Solutions, Services) Deployment
  116. Work Requests That Are Refused The IUG approves Work Requests & SBN submission It does so based upon many factors: Fit to strategic plan Global applicability Compatibility with existing GS1 portfolio Avoid duplication of effort with other standards bodies It may decide that a Work Request does not meet the criteria for approval or is less urgent than other requests In which case the IUG will communicate its decision back to the person submitting the Work Request Remember that the IUG is made up of members and MO's that represent their members in that industry
  117. Why Participate In An IUG? The IUG is the only group that will define the needs of industry If you want to influence what is developed for an industry or group of industries, then this is the group to join The more industry participation, the greater the probability that what is developed will meet industry's needs
  118. Where Do You Join An IUG? Go to the GS1 Community Room and look at the Industry Engagement section Pick out the industry group that you want to join and apply in that community room Once you have been admitted, then you can see all documents relevant to that IUG including its Charter
  119. Defining Industry Solutions
