  1. Purdue Payroll • Packets must be turned in COMPLETED! • Includes ORIGINALS of Passport or Driver’s License/Purdue Student ID and Social Security Card/Birth Certificate, VOIDED check and Work Study forms (if WS student) • RETURNERS (worked last year) do not need to complete an I-9 or have a copy of SS/DL • If you do not have all info, take home and complete, return all paperwork before first day of training. • Complete in Blue or Black PEN ONLY! • Linked online to help you at home.

  2. New Employee Process–Step 1 The employee will receive an email with the link to access the I-9 site. The Employer Code will be included. The employee will be prompted to enter the text that appears in the box – this is for added security. Then they will need to click Continue.

  3. New Employee Process–Step 2 Section 1 of the I-9 form appears on the screen. In the text boxes provided, the employee enters the information as requested such as name, address, etc. The employee will not be able to progress to the next page if required information is not completed.

  4. New Employee Process–Step 3 New hire selects the appropriate Citizenship Status option. • If either Lawful Permanent Resident or Alien Authorized to Work is select, required information such Alien number or I-94 number must be provided. • Click Continue. A message will appear at the top of the page if any required information was missed and all missing information will be highlighted in green.

  5. New Employee Process–Step 4 A review page will appear to let the new hire confirm entered data. After the employee reads the statements at the bottom, they will check the box for the electronic signature, and click continue. If any information is incorrect the employee can change it by clicking Change Information.

  6. Electronic Signature Statement Below is a larger image of what the new hire is attesting to when they electronically sign their I-9. The statement can also be read in Spanish.

  7. New Employee Process–Step 5 The new hire is presented with a link if they wish to print the I-9. Note: The SSN is masked for their protection. In addition, the new hire will receive a customized list of documents needed for the completion of Section 2. The list of documents varies according to the citizenship status that they entered in Section 1 of the I-9.

  8. New Employee Process is complete! • The user has now completed section 1 and logs out. • They will bring identification that shows their identity and authorization to work in the United States with them on their first day of employment. • If they bring in a copy of their completed Section 1, have them keep it for their records.
