  2. Planning “Prior to the start of the administrative year, the incoming district president should appoint committee chairs and members. These committees should represent the entire district. The leadership team should be qualified, enthusiastic Exchangites willing to make a commitment to your district’s success. “ - Red Book

  3. Standing Committees New Club Building Inter-club/Fellowship Exchange Education Convention Finance Membership Public Relations/Marketing

  4. New Club Building Committee What are the district’s new club building goals? Are the correct sites targeted? Will enough projects be started to achieve the goal? What are the current club building projects in the district? Does your district have a line item for new club building?

  5. Inter-Club/Fellowship Committee This committee helps to enhance the spirit of camaraderie and friendship among the clubs in the district by encouraging inter-club activities. Depending on the size and geography of the district, this committee should work with all district leaders on the organization of inter-club service, social, and fundraising activities.

  6. Exchange Education Committee This committee helps promote Exchange’s goals and objectives; assist in developing a long-range plan for the district, and supports implementation of the plan. By doing this, the committee ensures that leadership training seminars, educational portions of the district convention are conducted in proper manner.

  7. Convention Committee • This committee assist the board of directors in formulating the official district convention program and order of business. • What are some of the obstacles facing this committee? What are the opportunities for this Committee? What are the objectives of this committee?

  8. Finance Committee It is the duty of the district finance committee to prepare a budget of estimated costs and expenditures, based on the goals for year, for submission at the first district board of directors meeting. The committee should periodically compare the projected budget with the actual budget and examine the variances. At the year-end, the committee should examine the financial statements to determine which expenses are cost-effective in achieving the district’s goals and recommend changes to the board of directors. The finance committee needs to have a line item Growth.

The Membership Committee… • …should be sure: • Every club has a membership recruiting committee with a chairperson • The district has membership goals with a plan on how to achieve those goals • Clubs are up to date on the district’s membership status and hear the success stories • The district participates in national membership campaigns • The committee keeps in contact with club chairs and passes information to the district president • The committee follows through on every club effort

  10. Public Relations/Marketing Committee The committee is responsible for conveying a favorable image of the district and its clubs to the public. The Public Relations/Marketing Committee should also encourage and promote district programs and community activities.
