Role of the Adviser • Sharing knowledge about the university and personal experience -230+ organizations • Provide professional expertise to student organization members • Foster rewarding mentorships with students • Contribute to the growth and development of students through co-curricular activity

Responsibilities • Refer to the guidebook • http://www.stcloudstate.edu/campusinvolvement/organizations/documents/StudentOrgGuidebookRev-F2012.pdf • If you were to go on sabbatical please refer students to another full-time faculty or staff member who would be willing to advise the organization

  4. Benefits of Being an Adviser • Observe and assist in the development of students • Teach, lead, and coach students • Serve as a reference for students • Serve as a mentor for students • Observe culture changes in the life of the University and community • Form networks with colleagues involved as advisers in similar organizations • Provide service to the University • Participate in an organization whose purpose you support • Receive recognition by the institution, the organization, and students for a job well done

  5. Getting Money • You can receive money through the budget process of Senate Finance • Reserve funding (speaker, free, interpreter, equipment) • Fundraising • Money fundraised should go into a 900 account • If you do not have a 900 account currently you can fill out a request to open an account Spending Money • Spending money through Senate Finance • Only spend as allocated • Itemized Allocation (ex. $100 for printing, $500 for event, etc) • 900 account spending is more flexible • MUST have money in your account if planning to spend

  6. Contracts • Contracts • Timeline (3 mo. Int’l.; 1 mo. Others) • If hasn’t done business w/SCSU, need to complete a W-9 & get vendor number. • Follow “Contract Information Sheet” & “Purchase Order Information Sheet” on website • 2% tax on any non-resident entertainers

  7. Fundraising Special Fundraising Policies: 1. Sport clubs are under the jurisdiction of Campus Recreation. Any event involving a sport club using university recreational facilities must be coordinated through that department. 2. All residence hall-related activities must be coordinated through the Residential Life Department. 3. Human Auctions: Auctions which involve selling, bidding for, or in any way paying for person’s individual company or services are prohibited. 4. Drawings/Games of Chance/Raffles: Gambling for money or other things of value on campus or at University sponsored activities is prohibited except as permitted by law. 5. Food Sales: Any food-related sales anywhere on campus must be approved and coordinated through SodexoFood • Atwood - Must use Sodexo • Other buildings – Sodexo has first right of refusal

CollegiateLink Overview • To Login to CollegiateLink use HuskyNet ID and password • If your organization has an e-mail address, use that to login • If your organization does not have an e-mail address you can request one from the Helpdesk in Atwood • If you need a password reset you can go onto the Huskynet website and ask for a reset • Advisers are the only ones allowed to do this • Please pass on login information year to year to student leaders

  10. Showcase Your Organization • News Article • Create article to showcase honors/recognition of organization • How can organization benefit student • Look good on resume? • Leadership Opportunities

  11. Event Marketing • Create Flyers posted to CollegiateLink homepage • Send individualized invitations • Power to RSVP • Possible attendance • Figure out cost • Food necessities • Resources needed

  12. Create An Online Community • Send messages to your membership • Communicate on wall • Link to Facebook, Twitter, Blogs • Go Green/Online Meeting Agendas • Use Forms app.

  13. Elections • Computer counting • Unbiased party • Limit who votes • Prohibit non-organization members • Set up multiple elections at one time

  14. Setup Site At End Of Year • Use as a recruitment tool for incoming students • Orientation • Advising Days (if applicable) • Mainstreet • Site setup by Mainstreet you can accept new members on day of Mainstreet Organization Fair

  15. REGISTRATION FOR NEXT YEAR • Please remember to register by deadlines because Atwood will release room reservations • Review guidebook for constitution updates • You will not receive confirmations on whether your organization is registered • Please check with the Student Organization office to ensure registration
