Overview • Office of Capital Budget and Planning has assumed responsibility for Space Survey as well as space inventory • Space inventory • Includes building and room specific data such as GSF, NASF, HEGIS codes, school/department/unit assignment, room numbers, etc. • All UMB buildings have been surveyed during past year • HEGIS codes updated • Floor plans updated • Room numbers corrected • NASF and GSF for rooms and buildings have been reconciled with floor plans

Overview continued • Next steps • Updating room occupants and departmental assignments through SOM space inventory • Develop a space inventory system that: • is web accessible • links database to floor plans • is able to address queries • includes data elements that are useful to schools and units • provides key summary information • easy to use • is accurate

Space Room Survey • Primarily a financial application • Focuses on buildings and rooms used for research, although all rooms are surveyed • Goal is to maximize the amount of space assigned to sponsored research activities • Increases the total UMB space-related support costs allocated to sponsored activities in the Facilities & Cost Proposal submitted to federal government • Maximized research space will maximize indirect cost revenues recovered through F & A cost rate

Space Room Surveycontinued • Web based and streamlined • Fewer A-21 codes • Comment section permits users to highlight specific issues relating to a room • For School of Medicine, principal investigator names and occupying departments have been included • Completed room surveys can be printed • Rooms can be prorated between departments

Space Room Surveycontinued • Uses the Space Inventory System as its base • Room number, NASF, HEGIS codes, school and department assignments • Includes expanded set of data elements for research rooms: • A-21 Activity percentages for rooms • FAS Account numbers for sponsored projects worked on in the rooms • Specific occupant data for persons assigned to the rooms • Name • Employee ID # • Employee type (faculty, graduate student, fellow, technician, other)

  7. Space Room Surveycontinued • All rooms assigned to/used by UMB Schools must be surveyed and should have a survey form • UMB buildings • Medical Biotechnology Building • Maryland Psychiatric Research Center (MPRC) • UMMC buildings • Leased space

Space Room Survey Timeline • February, 2004- Field test of the survey by 1 basic science and 1 clinical department. • March, 2004- Training sessions for designated preparers of the surveys preparers scheduled for mid-March. • March 22, 2004- Distribution of electronic space room surveys. • April 16, 2004- Final due date for the surveys
