General Tips for Accessibility • Use solid backgrounds with contrasting text color. • Go to Layout menu > Select either Light Theme or Dark Theme. • Leave plenty of space above and below each line. • Ideally, limit the number of lines on each slide to 7. • Try to limit the number of words on each line to 6.

  10. Tips for images: Title only layout slide • Try centering the image on the slide • Fill blank space to edges if possible • Avoid borders around images

  11. Adding alt text to complex Images • This image was placed into the slide using Insert > Pictures. Do NOT drag and drop! • Text boxes and lines were added to annotate the image. • The simplest way to add alt text is to copy the group and paste it back as an image. Then add alt text for this single element. • Otherwise, ensure that the elements are in the right order using the Selection Pane and add alt text where necessary. Grouping the elements and adding alt text to the group works well if users are listening to the presentation in PowerPoint but does not translate when the presentation is saved as a PDF. Additional Tips for accessibility • If a video is embedded in the slideshow, ensure that: • It is captioned • Player controls are accessible • Video does not contain visual content that is not included in the audio track. • If an audio only file is embedded, ensure a transcript is included. • Avoid animations and animated slide transitions. • Use meaningful hyperlink text: • Right click text > select Hyperlink or Link to edit • Provide a clear description of the hyperlink destination • For example, Accessibility Guide Brochure • How to check slide reading order: • Select Home > Drawing > Arrange > Selection Pane • Screen readers read the bottom-most item first, then work their way up the list • Drag items to the desired order. • How to run the Accessibility Checker: • Select File > Info • Select Check for Issues button • Choose Check Accessibility option. • Additional resources: • Seven Steps to Creating an Accessible Powerpoint Slideshow
