  3. What hinders effective communication? • Not enough turn around time • No follow-up, accountability • Unrealistic, unachievable goals • Short deadlines • …and the mail! What can we do to improve communication?

  4. The first step – get organized • Goals • By setting realistic, quantitative, and attainable goals, you and your members can accurately track progress What’s wrong with this goal? We are going to recruit a large new member class this year Same goal, better parameters We are going to recruit 10 new members in the fall and 10 in the winter. • Action Plans • Take those goals and make them happen! Detail the who, what, when, where – AND set deadlines to achieve them We will have 3 Informal events within the 2 weeks after Recruitment • Follow-up and Review • When action plan deadlines come up, review the goal and action plan to determine if they achieved the goal, and if not, revise the action plan – this needs to be timely to be effective!

The “Buy-In” • Who has to “buy in” for effective communication • Your fellow members, advisers • “If you fail to plan, you plan to fail” • How to “buy in” – discuss the benefits of consistent communication • Better retention of members • Better participation, less frustration “What’s going on?” • Where to start • Having a semester to year-round Chapter Activity Calendar allows the chapter to ensure everyone knows what is happening and what is expected of them to do • This leads to maximum participation, thus better retention.

  6. Using your on-hand Resources Now that you have you and your members on the same page, it’s time to use those resources you have at your finger tips! Advisers, Consultants, and Fraternity supervisors! In keeping your advisers and supervisors in the loop to where and what the chapter has planned, they can help ensure that the necessary paperwork and reporting gets completed so your goals can be achieved. Consultants and supervisors are trained to able to provide support and training like seminars and information sessions to help you succeed – when they visit, be sure to request ahead of time to do a information session for the chapter. They will be more than glad to do it!

  7. Working with your Organization You have the goals, the action plans are working…. Now how do I get my HQ to see the great work we are doing? • Reporting – why be on time? What does it say about you? • Reporting is not just paperwork, it is a means to help evaluate the progress your chapter has made. • When a chapter doesn’t report, that’s when red flags go up • If you are not reporting, your HQ won’t know how you are doing, so how can they reward you for your success? • Being on time also demonstrates an acceptance of your office/ chapter requirements. • Being on time will help later in the real world, whereas when you are late, you could be fired ! • APPLY FOR AWARDS – don’t be Canadian – toot your horn!

Now how do I get my HQ to see the great work we are doing? • Following your Alcohol policy & still be Canadian • There are many factors, but in a nutshell, if you are planning social events, you need to be smart. • Be honest about what you would like to do – your advisers and supervisors can help you have this event without you breaking rules and getting into trouble. • If you can do it with alcohol, you can also do it without alcohol!Be creative - go from a cocktail to a mocktail!

  10. Follow-Up • Get organized • Set achievable goals and “doable” action plans • Keep membership in the loop • Keep volunteers in the loop • Brag about your successes! • Ask help for your challenges • “Help us help you!”
