What is the INCTR Portal? • The portal is constructed with Microsoft Share Point Portal Software • The provider is Capital Technologies Information Services: http://www.ctisinc.com/ • It consists of a hierarchical complex of web sites; the Portal Home Page is reached via INCTR’s web site: • http://www.inctr.org/

  3. What is its value? • The portal will provide information and allow access to and sharing of various files such as documents and pictures • It will improve management of projects and events of all kinds • Some sites will be working sites for INCTR staff, e.g, the NETWORK and Annual Meeting sites

  4. INCTR Portal Home Page • The home page provides a series of options listed on the Quick Launch bar at the left of the screen: Click on one to move to a picture or document library, or to one of the subordinate sites listed, e.g., INCTR Programs

  5. Announcements and Links • Announcements are visible under the description, and several useful internet sites are included on the right side of the page – just click and go!:

  6. Statistics • Some statistics relevant to developing countries are revealed by scrolling down and selecting the required information at the “pull down bar.” Governing Council Members are shown on the right

  7. INCTR Branches • You can move to the home page of an INCTR Branch or Office simply by clicking on its global location on the map: NNCTR/INCTR (Nepal) INCTR USA

  8. Branch Home Pages • Each of the branch sites provides similar information to that on the portal home page: Return to the Portal Home Page by clicking on :“Up to INCTR Portal”

  9. INCTR Staff Sites • Much of the Portal is accessible only to INCTR staff and Associate Members throughout the world • In such cases, a password is required to access the site • Passwords will be provided by INCTR Headquarters in Belgium

  10. Staff Access to Information • In addition to the individual sites for programs, branches and offices some sites include information that needs to be accessed by specific groups e.g., all branches and offices • Others are workspaces for groups of people who may be located in different countries (e.g., NETWORK)

  11. Informational Sites • INCTR Data Bases provides access to INCTR’s data base of contacts and members: http://inctr.ctisinc.com:9000/sites/InCTR/InCTRStaff/default.aspx • INCTR Branches and Offices is a general site for information relevant to the staff of all branches and offices: http://inctr.ctisinc.com:9000/sites/InCTR/InCTR%20Staff/default.aspx

  12. How to Download Files • Text or graphic files are stored in document libraries • Documents are accessed via the quick launch bar on the left side, or, directly, if displayed on a web page. Document library displayed on web page Document library on “Quick Launch” side bar

  13. Accessing Document Files • From a web page, a document file may be downloaded directly, but as a “read only” file, by clicking on it: Click on “cough” to access this document

  14. Accessing a Library • Access to the entire document library is gained from the quick launch bar, or by clicking on the title of the library if displayed on a web page: Click on title for access to complete library

  15. Document Libraries • The screen obtained from either clicking on the Quick Launch bar or on the title of a document library displayed on the page looks like this: PDF File Folder containing more files. Click on text to open it

How to Download Documents for Editing • Documents for editing will only be accessible by members with password access to the relevant site. • Instructions for editing are provided in the document libraries of the main portal site and the INCTR International site, as well as on working sites for editing documents

  17. Downloading Files for Editing • To edit a file, it must be accessed from the library screen by clicking on a file and choosing from the pop-up menu: e.g., Edit in Microsoft Word

  18. How to Upload Documents (Password Access Required) • Documents may be uploaded to a library via the “upload document” choice in the horizontal menu bar in a document library:

  19. Setting E-Mail Alerts • You can arrange for an e-mail to be sent to you each time a specific document is changed, or each time a change is made to a document library. Click on menu item for alerts relating to a specific document Click on “Alert me” and follow instructions for alerts to changes in the entire library
