  2. Processes • Not Currently Affected • Maternity / Paternity / Adoption • Expenses • Timesheets • Starter • Contract Changes • Bank Details • Interim Changes • Personal Details (excluding bank details) • Sickness Absence • Holiday Absence • Leavers

  3. Interim Process Changes • Set iTrent into the context of what you do at the moment. • Accompanying workbooks include: - Change to Personal Details - Absence (sickness and annual leave) - Leavers • E-learning

  4. Personal Details Changes (excl Bank Details) UPDATE ITRENT NOTIFY CHANGE FILE • File change of details form. • Receive change of details form and update information in iTrent. • Complete change of details form and send to Administrator. • If change of bank details complete change form and send to HR as per current practice. Personal Details includes Address, Name, Emergency Contact KEY: Employee Manager Administrator

  5. Sickness Absence UPDATE ABSENCE NOTIFY ABSENCE UPDATE ITRENT • Enters sickness absence details into iTrent • Check and amend working pattern for absence period • Update iTrent with any further absence certification details received. • Informs Administrator by email of sickness. • Employee phones Manager to notify of sickness. KEY: Employee Manager Administrator

  6. Sickness Absence Return INFORM ADMINISTRATOR RETURN TO WORK UPDATE ITRENT • Enters sickness end date into iTrent. • Informs Administrator by email of sickness end date. • Employee returns to work. KEY: Employee Manager Administrator

  7. Holiday Absence AUTHORISE HOLIDAY REQUEST HOLIDAY UPDATE ITRENT • Enters holiday dates into iTrent. • Authorise holiday. • Send authorised request to Administrator. • Employee completes holiday request form. KEY: Employee Manager Administrator

  8. Leavers UPDATE ITRENT CONFIRM LEAVER RETURN PROPERTY • Request return of keys, uniform, phones in line with line managers instructions. • File • Enter Leaver details into iTrent • Tick exit interview box if completed. • If additional information re payroll send copy of form with payroll pack • Inform Administrator of Leavers Details by leavers form. KEY: Employee Manager Administrator
