  3. Spring 2012 Changes • EASIER data is required to calculate enrollment counts and full academic year (FAY) status • Approved EASIER files are copied into AYP nightly • Complete EASIER and AYP in tandem

  4. EASIER enrollment counts

  5. EASIER entry codes • All students with entry code of 1, 2, 3, 5, 15, 19 • district = attending district, building = attending building • All students with entry code of 4 • district = resident district, building = ‘0000’ (district level) • Entry Code Key: • 1=enrolled • 2=open enrolled • 3=tuitioned in parent paid • 4= tuitioned in district paid • 5= whole grade sharing in • 15=tuitioned in state paid • 19=foreign student on Visa

  6. Enrollment count logic • Students enrolled on first day of testing through next six calendar days (testing window) • First day of testing is supplied to DE from ITP, but can be changed on the AYP application • Tuitioned in (district paid) students use testing date from attending district

  15. Differences in EASIER vs. AYP 5656565656 Randy Ranger 4545454545 Cindy Connor 7878787878 Sandy Smith 6986986986 David Duncan 1212121212 Tim Turner 3213213213 Ellen Eilers Fran Farmer 7417417417 7897897897 Gregg Ganz errors 4564564564 Howard Hanson 8888888888 Missy Manor 7777777777 Nancy Newsome 6666666666 Paul Peterson Peterson Petersen Ronald Barker 5555555555 Roger Ronald 4444444444 Sam Shiver

  16. -Differences- EASIER students not in AYP 5656565656 Randy Ranger 7878787878 Sandy Smith 1212121212 Tim Turner ‘Not Applicable’ is not a valid reason for students enrolled but not tested and will prevent the certification of AYP. If student was not enrolled, enrollment information in EASIER is inaccurate and must be fixed. If student was enrolled in district but did not test, a valid reason must be entered for student in EASIER.

  17. Enrolled, not tested • EASIER data elements • Reason no state reading assessment score • Reason no state math assessment score • Reason no state science assessment score

  18. EASIER data element: reading

  19. EASIER data element: math

  20. EASIER data element: science

  21. -Differences- AYP students not in EASIER 4545454545 Cindy Connor 6986986986 David Duncan 3213213213 Ellen Eilers Fran Farmer 7417417417 Gregg Ganz 7897897897 Howard Hanson 4564564564 Why are these students not in EASIER? If student has incorrect entry date/entry code, corrections must be made in EASIER Student may have transferred in or out of the district during the testing window and was tested

  22. -Differences- Demographic discrepancies between EASIER and AYP 8888888888 Missy Manor 7777777777 Nancy Newsome 6666666666 Paul Peterson Petersen Peterson 5555555555 Roger Barker Ronald Barker 4444444444 Sam Shiver Demographic data used for AYP is taken from Bar Code file. Indicators should reflect status at time of testing. Discrepancies may or may not be errors and are not required to be resolved.

  27. How FAY is calculated through EASIER

  28. FAY logic Ifa student has Entry Code of   ‘1’ (Enrolled) ‘2’ (Open Enrolled In) ‘3’ (Tuitioned in Parent Paid) ‘4’ Tuitioned in District Paid) ‘5’ (Whole Grade Sharing In) ‘15’ (Tuitioned in State Paid) ‘19’ (Foreign Student on Visa) The student is put into FAY counts

  29. FAY logic Then the following Exit Codes (occurring between Test Date A and Test Date B) break FAY for district and building   ‘1’ (Transferred) ‘2’ (Open Enrolled Out) ‘3’ (Tuitioned Out District Paid) ‘4’ (Dropout) ‘5’ (Expelled) ‘6’ (Reached Max Age) ‘7’ (Deceased) ‘8’ (Graduated from High School) ‘9’ (lllness – if NOT receiving educational services) ‘10’ (Whole Grade Sharing Out) ’11’ (Tuitioned Out Parent Paid) ‘27’ (Interim Placed if NOT at an AEA School/Sponsored program or in a Community College program) ‘29’ (Expulsion from Previous Year)

  30. FAY logic Then the following Exit Codes (occurring between Test Date A and Test Date B) break FAY for building only ‘9’ (Illness – if receiving educational services) ‘27’ (Interim Placed - if placed at an AEA School/Sponsored program or a Community College program) ‘28’ (Transfer within District) NOTE: The exit code of ‘14’ may or may not break FAY for building or district depending on the re-entry status

  31. Exit code ‘14’ vs. ‘28’ • Use exit code ‘14’ End or Change Enrollment if a student has a change in • Entry code • Resident district • Foster care • Service Provider/Facility • FTE And continues enrollment in the district.

  32. Exit code ‘14’ vs. ‘28’ • Use exit code ‘28’ Within district transfer if a student has an AYP entry code and changes buildings within the district • Do not exit as a transfer to your district as this will break FAY for district

  33. New columns: FAY click
