Linking Objects • When inserting an object from a file, results vary depending on the kind of file • e.g. inserting a spreadsheet will display the worksheet/chart from that spreadsheet that was open in the foreground when you last saved the spreadsheet. • Note “Link” selection box - ticking this links the spreadsheet to the original file • link persists when file is moved or renamed on same PC but not when emailed or moved across a network • Original file can be viewed and edited by double-clicking on inserted object

Embedding objects • Not ticking Link is the same as copying and pasting the spreadsheet file itself into the presentation and means that a copy is embedded (saved with the presentation). • All worksheets of the copy would then be viewable and editable by double-clicking on the embedded object • How important is this? Proceed with care!

  16. Custom animations • The custom Animation button on the Animations tab will bring up a Custom Animation window docked to the right-hand side of the screen • Select the text or object to which you want to apply a custom animation and click on Add Effect

  18. Set Up Options • Options on the Set Up group of the Slide Show tab on the Ribbon: • - Record Narration • Rehearse Timing • Use Rehearsed Timings

  20. Previewing as a webpage (1) • Many commands in PowerPoint are not included on any tabs on the Ribbon, including the web pre-view button • This can be added to the Quick Access Toolbar • Click the Customise Quick Access Toolbar button • Click the More Commands option

  21. Previewing as a webpage (2) • In the PowerPoint Options dialog box that pops up, click the “Choose commands from” box arrow to show the drop-down menu of commands • Choose the “Commands Not In the ribbon” category

  22. Previewing as a webpage (3) • Scroll to the bottom of the list and select Web page preview • Add the button to the Quick Access Toolbar by clicking the Add button

  24. Saving as a webpage • Save the file using Save As • Change the file type to “Single File Web Page” • Looks similar to example below – note expand/collapse

  25. Please note: When saving a PowerPoint presentation as a webpage the file is saved as a MIME HTML file which is not viewable by Firefox unless specific add-ons have been installed. You would need to use Internet Explorer to view PowerPoint web pages.

PowerPoint Viewer • It is possible to copy a Microsoft Office PowerPoint 2007 presentation to a CD/network location/local disk drive/etc in such a way that Microsoft Office PowerPoint Viewer 2007 and any linked files (such as movies or sounds) are copied as well. • PowerPoint Viewer is software that will run a presentation on a computer on which Microsoft Office PowerPoint is not installed • Allows you to distribute a self-contained presentation to an audience that might not have PowerPoint • PowerPoint Viewer is a free download

  29. Downloading PP Viewer • If PowerPoint 2007 is not installed on the computer, it can be downloaded using this hyperlink • Download instructions appear at the bottom of the download page

  30. Publishing to PP Viewer • On the Microsoft Office Button, point to the arrow next to Publish, and then click Package for CD.

  31. Publishing to PP Viewer • In the Package for CD dialog box, in the Name the CD box, type a name for the CD or the folder that you want to copy your presentation to.

Publishing to PP Viewer • To choose the presentations that you want to copy and the order in which you want them to play, do the following: • To add a presentation, Add FilesAdd. • If you want to add other related, non-PowerPoint files in the package, you can. These files will be copied, but Office PowerPoint Viewer 2007 will not play them. • If you add more than one presentation, the presentations will play in the order in which they are listed in the Files to be copied list. • To change the order, select a presentation that you want to move, and then click the arrow buttons to move the presentation up or down in the list.

Publishing to PP Viewer • Click Options. • Under Package type: • To specify how a presentation will play in the PowerPoint Viewer, click Viewer Package and then select an option in the Select how presentations will play in the viewer list. • Under Include these files: • Check the Linked files check box. Linked files can include Microsoft Office Excel worksheets that are linked to charts, sound files, movie clips, and more.

  34. Publishing to PP Viewer • To require other users to supply a password before they can open or edit any of the copied presentations, under Enhance security and Privacy: • type the password or passwords that you want to require to open the presentation, edit it, or both.

  35. Publishing to PP Viewer • To inspect your presentation for hidden data and personal information, select the Inspect presentations for inappropriate or private information check box.

  36. Publishing to PP Viewer • Close Options and then do one of the following: • If you are copying your presentation to a network or to a local disk drive on your computer, click Copy to Folder, enter a folder name and location, and then click OK. • If you are copying your presentation to a CD, click Copy to CD.
