  5. Employee ID’s & Logins • Current Employees w/Network Accts • Same Username and Password

Employee ID’s & Logins • Current Employees w/No Network Accts • Username and Password will be created • Firstname.lastname • Initial password is individually created – should be changed ASAP! • Passwords can be set to “not expire” for select groups; intermittent’s, retirees, election judges,etc. • Distributed via HR/Payroll Contact – July 9th

Employee ID’s & Logins • New Employees – after “go live” • HR/Payroll Contact Enters HIRE • User ID & Password Created • New User/Change Request Form • Gets employee self-service access only as of first day of employment • Other access (Manager Self-Service, Timekeeper, HR/Payroll Contact) must be added via security update. • Communicated via HR/Payroll Contact

  8. Employee ID’s & Logins • No Email accounts automatic • Same business process as today – work with your tech staff • Other system access through same business process as today

  11. Human Resources/Benefits • Onboarding • Friday,June 29th, Complete entry of job data in 7.5 • Emergency events could be entered Monday or Tuesday Noon • Contact George Hamm

Payroll / Time & Labor • Prior Period Adjustments (PPA) • Deadline was June 26th • After 6/26, make adjustments in current pay period • Remember to use “Daily Comments” • After Conversion • Allowed back to 6/16/07, no more than 60 days prior to the first day of the current pay period • Adjustments > 60 days, record them in current pay period • If the PPA will have FLSA implications, it can be submitted on a Payroll Adjustment Form to Central Payroll. • Must include earnings end and begin date

  13. Payroll • Direct Deposits New/Changes • Must be entered no later than 12:00, Tuesday, July 3rd • Pre-notes (see job aid) • Payroll Timing • Printed Timesheets Go Live Pay Period • Reports & Reports Distribution

Time & Labor • Send list of employees not using online time to Bob & Randi • Anyone who will continue to use a manual timesheet • Public Works employees using daily time sheets • Ramsey Nursing Home Staff using the Kronos time clock system • Other employees whose time is captured on a central time log and entered centrally

  15. Time & Labor • A list of employees working rotating schedules • Include: • Employee ID, • The specific rotating schedule as listed on the TL Conversion File, • The employee’s rotation on June 30, 2007

  16. Time & Labor • A List of new employees entered into 7.5 Summit after 6/21/2007 • Include: • Employee ID, • Backup Reported Time approvers • The employee’s 8.9 workgroup • The employee’s schedule and, if rotating, the specific rotation on June 30, 2007.
