This document outlines significant changes to accountability codes and data certification processes as presented by Jennifer Baird, Ph.D. on January 24-25, 2012. It provides key updates on new accountability codes, SIS exit codes for students, and instructions on coding for LEP students and those in alternative programs. Furthermore, it details the final opportunity for data review, common issues related to hand coding, and future data release timelines related to school performance scores (SPS). Schools and districts must ensure adherence to these guidelines to avoid potential zeroes in assessments.

Data Certification Final Opportunity to Review Data Used to Calculate the SPS
Hand Code Issues • Need all of the Social Security Number PLEASE • NOT THIS XXX-XX-1234 • Do not permit students to complete hand code info • Alternative School Issues
Students at Alternative Programs • Two Options for Coding Students who are enrolled at one site and attend classes (and test) at another site • Submit plan to Leslie Lightbourne for transport of pre-coded answer documents to site • Use blank document and hand code information using the school where the student is enrolled • Add test administrator to school where student is enrolled
Homebase Site codes • If students are not FAY in an alternative school, they will be routed back to the sending school ONLY IF THERE IS A HOMEBASE SITECODE IN SIS.
Pre-code Rosters • Excel spreadsheet prepared for every district • Will be sent to Accountability Contacts via secure email • Review data to identify potential problems and to prepare accountability codes
Corrections for Assessment • Impending Zeros – What are they? • Students for which the pre-coded test document was not returned. • A test document with an unexcused absence was returned. • A document with an invalid accountability code was returned. • A student took LAA 1 or LAA 2 and did not meet requirements. • Any of these situations that are not corrected will result in a zero being assigned and used in calculating the SPS.
Future Data Release • Detailed School-level Table to be released in next couple of weeks • Includes some data previously released • Reflects any changes from appeals • First time release of new growth targets • Does not include EOC transition baseline scores
