  6. Why is DM so important?

  7. The paperless office was promised since 1979 • The number of paper copy’s and paper output is still increasing today. • Globalism requires to distribute more information than ever before. • 40% - 60% of copy’s are not necessary duplications of the same information. • Aprox. 10 Times more information is distributed than in the decade before. • Only 2-3 Times more paper copy’s are created in the same time. • Demands for photocopy cost reduction and environment protection concerns do influence the habits and requirements of our customers. • Duplication copy’s can be avoided using digital documents and electronic process management – But they do not extinguish the need for paper output. • Better output quality with more flexibility and less costs per sheet is the today’s demand for office print and also for professional print. The paperless office was promised to be realistic. Why should a producer of high quality output devices be interested in the reduction of photocopy’s ?

  8. Operation Collaboration Development Future growth Legislation Regulation What is the value of information? • Incoming and outgoing Documents must be accessible, manageable and processed in time during the daily operations. People and businesses processes depend on the information flow, they are totally connected. • Documents are relevant in terms of legislation and legal regulations. Documents are proving company's transactions and must be safely kept. • “Without your memory you loose your future”Company’s future development depends on the right decisions based on the right information in the right moment. Information is the key factor to success.

  9. Cost Protection Environment Collaboration Why must information be managed? • Limited space is common in classical basements and archives. Temporary solutions compromise the use and access to information. Digital solutions improve information access and reduce cost of storage. • The value of information can only be used if the information is available fast and in a simple way. Digital Storage provides access to information where you need it and when. • Fire, Water and other elemental forces are a significant danger for physical paper archives. Information must be protected against uncontrolled access and falsification. The risk can be eliminated by digital storage DM Solutions. • Our environment is in danger. Waste and unnecessary use of energy and material must be avoided. The use of intelligent office solutions reduce the cost for our planet.

  10. What is our Mission?

  11. Our Mission Reduce of cost Improve your document processes Increase the productivity of your people Create an environment friendly workspace Increase document security

  12. 32% of documents are not available when you need them(Cimtech) Employees search for documents approximately 4,5 hours per week. In one year every employee wastes 4-5 weeks searching for misfiled documents 4-5 Weeks 4,5 hours Processes optimization to be more efficient 32% • Easy useable and logic concepts increase the efficency

  13. Increase the productivity of people Production Administration • Only 4% of Enterprises have optimized their business processes 90% 4%

  14. Can you make sure that document access is centralized and policy based? Can you access your documents over the Internet or in the office safely and secure? Can you make sure that changes to documents are recorded or can be prevented? Is you document storage protected against environmental forces? Can you control who is accessing what kind of information in your company? Who can ensure you that relevant and important data is not stored on local computers? DM helps to increase document security

  15. Where do we begin?

  16. This is very often the case

  17. Problems with conventional storages • Filename = limited search criteria • Fracture = no central storage • Complex structures = No overview • No rule enforcement = Unsystematic storage • The view of Individual’s = Redundancy

  18. Customers are searching for solutions • Cost efficient content storage & access • Regulatory legislation demands • Unclear storage of paper and electronic content • Fractured and often chaotic data storage • Defeat the chaos in the content Architecture and reduce environmental complexity and reduce cost.

  19. Cost reduction Productivity Improvement More Security Environment friendly Operational Improvement Customers have high expectations • Less energy and material cost, paper output reduction • Searching time reduction for information • Less storage cost and use of space • Central, efficient and lasting storage of information • Storage in compliance to regulatory legislation and directions • Process improvements with the help of electronic workflow • Integration into other applications • Scalability up and down as demands grow and shrink • Capture & distribution of Information of all types • Controlled access to information • Protection of information against disaster, loss and falsification • Local managed and driven solution with local support • Help for better protection of the environment

  20. What’s the additive value we offer? Input Flow of Information Business processes Manage Process Distribute Store Retrieve Output

  21. What should customers know about? • There are obligations to be considerate • Efficient DM saves money, time and energy • There is a difference between DM and archiving • DM technology is ready fully developed today • DM has an effect on the whole company
