  7. Mini Toolbar To use the Mini toolbar: 26 • Select the text to format. • Point the mouse at the Mini toolbar. • Click the command to apply. The Mini toolbar provides a shortcut to frequently used formatting commands.

  8. Launch Word To launch Word in Windows 7: 27 • Click the Start button. • Click All Programs. • Click Microsoft Office. • Click Word 2010. Start button

  9. File Menu 27 • Click the File tab to display the File menu. • The File menu contains commands for working with files, such as: • Save and Save As • Open • Close • Recent • New • Print File tab Click the pin symbol next to any file to keep it on the Recent Documents list. 9

  10. Save Document To save a document in a new folder: 27 File/Save or Save As • Click Save or Save As to display the Save As dialog box. • Click New folder to create and name a new folder. • Key the name of the file in the File name box. • Click Save. New folder File name box

  11. Close Document To close a document and leave Word open: 27 File/Close • Word remains open with no document on the screen. To close a document and exit Word: • Click the Close button at the top right of the screen. • The document closes and Word exits.

  12. Open Existing Document To open an existing document: 27 File/Open or Recent • Open the appropriate folder. • Double-click the filename. -or- • Click the filename in the Recent list.

  13. New Document To create a new Word document: 27 File/New • New document options display on the File menu. • Double-click Blank document; -or- Click Blank document and click Create button. Blank document Create button

Paragraph Formats 28 • Alignment commands specify how text lines up. • Line and Paragraph Spacing determines the amount of space between lines of text. • Shading applies colour as a background for text. • Border applies and removes inside and outside borders. Paragraph Formats (cont.) 28 • Bullets, Numbering, and Multilevel List format lists of information. • Decrease Indent and Increase Indent move all lines of a paragraph to the right or left. • Sort alphabetizes selected text or arranges numerical data in ascending or descending order. • Show/Hide displays nonprinting markings.   17. Alignment 28 • Align Text Left—all lines begin at left margin. • Center—all lines are centred. • Align Text Right—all lines align at the right margin. • Justify—all lines align at both the left and right margins. Center Align Text Left Justify Align Text Right

Increase and Decrease Indent To indent text: 28 Home/Paragraph/Decrease or Increase Indent • Click in a paragraph and click Increase or Decrease Indent. • Each click of a button increases or decreases the indent by 0.5". • Increase Indent and Decrease Indent move all lines at the left side of a paragraph to the same point.   19. Show/Hide To display nonprinting characters: 28 Home/Paragraph/Show/Hide • Click Show/Hide to display or hide nonprinting characters. • Show/Hide controls display of nonprinting characters such as: • Tab markers • Paragraph markers • Spaces • Line break markers

  20. Line and Paragraph Spacing To change line spacing: 28 Home/Paragraph/Line and Paragraph Spacing • Position the insertion point in the paragraph that is to be adjusted. • Click Line and Paragraph Spacing. • Select the desired spacing from the options. Line and Paragraph Spacing

Quick Access Toolbar 28 • Save preserves the current version of a document. • Undo reverses the most recent action; the drop-list arrow displays a list of recent actions that can be reversed. • Redo reverses the last Undo; it can be used several times to redo the past several actions.   23. Scroll Bar To move through a document: 29 • Click above or below the scroll box.-or- • Click the scroll box and drag it to the desired position. -or- • Click the up and down arrows. -or- • Click the Previous Page or Next Page double arrows. Scroll box Down arrow Next Page Previous Page

  24. Use Slider To view smaller or larger versions of text: 29 • To see larger version of text, move slider to the right (+) side. • To see more text at one time, move slider to the left (–) side. Slider

  25. Use Zoom To view document using Zoom options: 29 View/Zoom • Click Zoom and select percentage. -or- • To view a full page, two pages, or page width, click the appropriate alternative.

Views To change the view: 29 View/Document Views • Select the desired view: • Print Layout displays the document as it will print. • Full Screen Reading uses the full screen to display the document. • Web Layout displays the document as it will appear on the Web. • Outline displays the document in outline format. • Draft displays the document without graphics and formatting. Views can also be selected at the right side of the status bar.

AutoCorrect To change AutoCorrect options: 29 File/Options/Proofing • Click Proofing and then click AutoCorrect Options. • Key a shortcut for a longer phrase or a word often misspelled in the Replace box. • Key the correct word or phrase in the With box. • Click Add. • To remove an entry, select it and tap DELETE.

Spelling and Grammar 29 Three ways to check spelling: • Check spelling and grammar using the proofing tools on the Review tab. • Click Spelling & Grammar to open the Spelling and Grammar dialog box. • Click Change to accept the suggested change. • Click Ignore to ignore errors. • Add words to the dictionary if desired.

Spelling and Grammar (cont.) 29 Three ways to check spelling (cont.): • Check spelling and grammar as you key. • Red—spelling or keying errors • Green—grammar errors • Blue—contextual errors • Verify Grammar and Spelling status on the status bar: • Still checking • Contains errors • Error free

Proofing Tools To use the Thesaurus: 29 Review/Proofing/Thesaurus • Position the insertion point in the word to replace. • Click Thesaurus to display the Research task pane. • In the Research task pane, hold pointer over the appropriate word, click the down arrow, and then click Insert. Click Insert to replace word

  31. Translate 29 • Translation options: • Translate an entire document. • Translate selected text. • Use the Mini Translator. • First choose translation languages; then select a translation option. • Documents and selections are translated by WorldLingo. 31

  32. Translate (cont.) To use the Bilingual Dictionary: 29 Review/Language/Translate • Click Mini Translator to turn it on. • Point at the word to translate; then point at the Bilingual Dictionary to darken it. Turn off the Mini Translator when you have finished using it.

  33. Help To use Word Help: 29 • Tap the F1 key. -or- • Click the Help button at the upper-right side of the screen. • Click the see all link to browse Word Help and select a topic. -or- • In the Word Help search box, key the topic on which you need help.

Clipboard Group 30 • The Clipboard group contains useful editing tools. • The Clipboard stores up to 24 items so they can be used in other locations. • Click the Dialog Box Launcher to open the Clipboard. • Commands in the Clipboard group include: • Cut • Paste • Copy • Format Painter Dialog Box Launcher Items stored in the Clipboard 34

  35. Cut, Copy, Paste 30 • To cut text: • Select the text to be cut. • Click the Cut command. • Text is removed to the Clipboard. • To copy text: • Select the text to be copied. • Click the Copy command. • To paste text: • Position the insertion point. • Click the Paste command. 35

Paste Options 30 • To see options for pasting, click the Paste button drop-list arrow or click the Paste Options button after pasting. • Paste options provide a live preview of what the content will look like when pasted. • Keep Source Formatting preserves original formatting. • Merge Formatting and Keep Text Only convert text to Normal style. • Use Destination Theme converts to destination format. Format Painter To copy paragraph formats: 30 Home/Clipboard/Format Painter • Click in the paragraph that has the desired format and click the Format Painter. -or- Double-click the Format Painter to copy formats to more than one paragraph. • Click in the paragraph or paragraphs to copy the desired format. After using the Format Painter to format multiple paragraphs, click the command to turn it off.

  38. Margins To change margin settings: 30 Page Layout/Page Setup/Margins • Click Margins to display the gallery of margins options. • Click the desired margins option.

  39. Orientation To change page orientation: 30 Page Layout/Page Setup/Orientation • Click the drop-list arrow on the Orientation command. • Select desired orientation. • Portrait (default) positions text so top edge of paper is 8.5" wide. • Landscape positions text so top edge of paper is 11" wide.

Center Page To centre a page vertically: 30 Page Layout/Page Setup • Position the insertion point on the page to be centred. • Turn on Show/Hide and remove any extra paragraphs. • Click Page Setup Dialog Box Launcher. • Click Layout tab. • Click Vertical alignment drop-list arrow. • Select Center.
