Community College Survey of Student Engagement (CCSSE) • Purpose • Assess institutional practices and student behaviors that are highly correlated with student learning and student retention • Benefits • Use data to produce more successful student outcomes • Useful for benchmarking institutional practices and assessment strategies Center for Community College Student Engagement

Key Roles • Campus Coordinator • Coordinate survey administration process on college campus • Serve as single point of contact between college and CCSSE • Survey Administrator(s) • Conduct in-class survey administration • Serve as point of contact between Campus Coordinator and faculty members whose classes are surveyed • CCSSE Liaison • Provide guidance on survey administration process • Serve as point of contact between the Campus Coordinator and CCSSE Center for Community College Student Engagement

Data Verification Process • Campus Coordinator must confirm that the • information CCSSE has on record for the college • is correct—this is a critical step in the preparation • process. • Campus Coordinator will receive directions for • completing data verification via e-mail from • CCSSE Liaison on Monday, December 13. • Campus Coordinator is responsible for completing • the data verification process by Friday, December 17. These numbers serve only as a guide. Community College Survey of Student Engagement

Preparing the Course Master Data File (CMDF) • The CMDF is used to create the random sample of students to be surveyed. • The CMDF should contain all spring 2011 course offerings and actual enrollment numbers as of the twelfth class day (or term census date), with the exception of the courses listed below. • Exclude the following classes from the CMDF: • non-credit classes • dual-enrollment courses offered entirely to high school students • distance learning classes, practicums, clinicals, internships, and co-ops • lower-level ESL classes (survey is written at an 8th grade reading level) • lab sections associated with a lecture • individual instruction • individual study or self-paced classes • courses offered to incarcerated populations • Remedial/developmental courses should be included when they are offered for institutional credit (e.g., financial aid) even if the credit is not applicable toward a degree. The Random Sampling Process • Campus Coordinator submits CMDF to CCSSE Liaison via e-mail as an Excel attachment. • CCSSE cleans the file and standardizes the format. • Courses meeting at the same time, place, and date are automatically combined into a single course. • Courses with 3 students or less are removed from the file. • CCSSE pulls random sample. • College Liaison e-mails random sample to Campus Coordinator. • Campus Coordinator reviews sample and e-mails CCSSE Liaison with confirmation of approval of random sample. • Campus Coordinator e-mails sample file to Survey Administrator(s). • CCSSE creates and ships class packets (Note: with the exception of quarter schools, which are completed first, class packets are completed in the order in which samples are approved. Surveys are typically received within two weeks of the sample confirmation date). Center for Community College Student Engagement

Survey Packet Materials • Each sampled course will have an envelope that contains • Class Information Sheet • Survey Administration Script • CCSSE Program Code Sheet • CCSSE Special-Focus Items or combination CCSSE Special-Focus Items and Custom Survey Items • Surveys • You will also receive pencils, 100 supplemental surveys, UPS pre-paid return shipping labels, and neon return address labels Center for Community College Student Engagement

  19. 2011 CCSSE Special-Focus Items • Participants will be included in a national study—free of charge— • focused on community college students’ participation in “promising • practices.” • Items focus on the following topics: registration, orientation, freshman • seminars, learning communities, success courses, developmental • coursework, placement, explanation of policies, academic planning, • group learning, tutoring, and supplemental instruction. • A total of 20 items will be added to the 2011 administration. Review the • items at http://www.ccsse.org/aboutsurvey/CCSSE_2011_Special_Focus_Items_FINAL.pdf. Please note: If your college has opted to add custom survey items to your administration, or your college is participating as part of a consortium that is adding custom survey items, your college will receive the first five “promising practices” items, in addition to your custom survey items. In-class Survey Administration • Survey Administrator Responsibilities • Distribute survey materials and #2 pencil to each student. • Read and follow the procedures outlined in the Survey Administration Script. • Complete and sign the Class Information Sheet. • Collect completed surveys and pencils, and recycle any unused surveys and ancillary materials. • Return completed surveys, along with the Class Information Sheet, in their original envelope to the Campus Coordinator. • Send “Thank You” notes to participating instructors. Returning Completed Surveys • CCSSE highly recommends returning surveys in multiple shipments rather than returning all completed surveys in a single box. • Return completed surveys WEEKLY to CCSSEin the corresponding course envelopes (along with Class Information Sheets). • Do not return unused surveys, Program Code Sheets, Special-Focus Item sheets, or pencils. • Use pre-paid UPS shipping labels included in your survey shipment. If you lose them or need more, contact your CCSSE Liaison. • Campus Coordinator should record UPS tracking information and track delivery of surveys. • Deadline to return surveys is May 18, 2011. Deliverables • The Center mails multiple print copies of the Key Findings booklet—an executive summary of college-specific CCSSE results— to college presidents on July 31, 2011. • The Center provides Presidents and Campus Coordinators access to the electronic reporting website on July 31, 2011.
