  1. 25 Years Later - Who are we? It has taken many years to make Sentri Systems a front runner in the Time, Attendance, Job Costing and Production Timing Industry. It will be difficult for you to find another company who has as much PASSION about developing in-house leading edge Software. Our TIME ATTENDANCE would be one hand, the other hand would be the JOB COSTING module. TurboTime has been installed in over 3500 different locations over the past 25 years, thereby giving us many years of ongoing active hands on experience. We are directly responsible for calculating and paying over 50 000 employees their wages, each and every week. Our software solutions includesAccuracy, Reliability and Ease of Use. All crucial when dealing with your staff and their wages. This module is about the JOB COSTING SIDE OF THE SOFTWARE. We measure the time taken to do a Job and the Time spent on Job including the $Cost$. We measure your staff, calculate what have they done? What is their efficiency? The focus being on the ability to increase YOUR Profit and Productivity. That task is beyond most. BUT NOT FOR US.

  2. Since 1992 – 25years ago, SENTRI has been designing software and systems to take care of a number of issues related to Staff, Profitability and Efficiency. Simply put, we measure TIME and TIME IS MONEY. In this, the age of the cloud, portability and mobility are a key element in the control of being able to Measure, Improve and Profit. There are TWO Modules available to the JOB/Production System (1) TurboTime – Time & Attendance Software (2) TurboTime – Production Job Costing (QR code) This PowerPoint Presentation is about JOB COSTING.

  3. The last Job you have just completed, was it profitable? Are you making or losing money on specific products? Can you measure how long it takes to complete a Job?Can you cut back on Overtime but still increase productivity? Is it important to know what it costs to make your products? Is your turnover there to simply pay wages, or to make profit? Most companies DON’T KNOW! – DO YOU?

  4. A Honest Day’s Pay for a Honest Day’s Work! That is easier said than done! Like most companies, you Pay staff for being at “Work” i.e. 40 Hours with 15 Hours Overtime!But only 32 hours are allocated to Work orders for that WEEK So WHAT HAPPENED? Where did all the other hours you are paying for go to? When you times that by 40 Employees, it will not take you long to say to yourself ‘ I HAVE A HUGE PROBLEM’. Are you paying your staff to be AT WORK, or are you paying them to work? Have you ever measured the COST of LOST production time at your company?Companies know they have a problem but don’t know how to measure it? How can you measure the time being paid to an employee for being at work versus the hours allocated to Jobs and productivity? Would you like to ACCURATELY KNOWwho is Productive and Who is Not?   5. Production Timing or the Failure thereof? Most companies out there use the old “Thumb-Suck” method to guessHOW MUCH TIMEis actually needed to complete any given Job! This “Projected Time” is then built into the quote/project for the customer, and if accepted, a Work Order is generated based on these “Thumb Suck hours”. With the COST of Labour being what it is, it is important to know and measure. Under Quoting versus Over Quoting! Most companies JUST DON’T KNOW! But wont admit it. Sad but true. Not allocating enough time to a Job means you will get business you don’t necessarily want and your profit margins are way too tight. Have you considered that you could be losing money on every Quote! Well, there goes that profit! Over quoting on any Job is dangerous as you could unwittingly lose potential business as your quote is based on incorrect information. NOT KNOWING IS EXPENSIVE

  6. Most companies have a good idea of the cost of MATERIALS, even before they begin to manufacture their products. But when it comes to accurately forecasting the “TIME REQUIRED”to manufacture YOUR products the Wheels Fall Off. So how can you stay competitive if you are not absolutely sure how long it takes to complete the JOB and the COST? You KNOW the Selling Price – Great And you KNOW the cost of Materials – Great Now ADD the REAL Cost of Labour – Which is - ??? Therefore the TRUE Profit Margin is - ???

  7. So what is Production Timing? * Production Timingis the ability to measure the “Time” taken to manufacture a product from START to FINISH. * Each “Task” has a duration! (Cutting, Welding, Grinding, etc.) * Each TASK has a COST to the company (this includes all overheads) * Measure the “Budget Time” versus the “Actual Time!” * Tasks! - Did they exceed the time allotted for that Job? * Measure Wage cost against Production Cost during your production * Profit and Loss is accurate because you now know Manufacturing COSTS. * Here is a TOOL to dramatically increase yourPRODUCTIVITY and PROFIT.

  8. Production Timing solutions. If your current system to measure the time taken to manufacture your products is non-existent or a dismal FAILURE, then you will be looking for something that is easy to use, reliable and provides the information you need. With our JOB COSTING software, you can accuratelymeasure how much TIME was taken for each Job, from Start to Finish.Measure the MONEY used (Labour & Overhead Cost) to complete not only the JOB but each and every TASK. • Excessive time taken to complete any JOB can now be investigated. • Is more training required for that operator? • Was the time allowed simply inadequate for the task at hand? • It might be that a machine is faulty, but whatever the reason is, it will be brought to your attention and resolved one way or another. • Hind sight gives you 20-20 vision. • As each Job is completed, you have all the information at hand to know if it was a profitable project or was it running at a loss! Information allows Action to be taken. • With time, quotes can be adjusted accordingly and you increase your accuracy. Look at your Profit & Loss report. Allow for the appropriate action to be taken before you start the next Job or send out the next Quote.

  9. A honest days pay for a honest days work! Start paying staff for working and not for being at work! Your employees cannot beat this Production Timingsystem. Either they book too much time to a Task/Ops number and the system will highlight this fact, or they are getting paid for too many man hours that are not being accounted for! Either way, THEY are accountable for THEIR“TIME”. Here is an unbiased system that gives everyone a fair opportunity to prove that they are delivering on time and to PLAN. Staff cannot beat the system.

  10. Some of the Reports Available. JOB Status report.Shows which Jobs are currently Open and what the current status is. Indicates ”When“ they were opened and ”Who” is working on them now. Note on the PC screen - All “Waiting for parts” are highlighted in RED for Action. OR even send a message to your Smart phone! Time Allocated to any JOB report.Shows the hours booked to a selected job. Select Summary or Detailed. All Start/Stop times are indicated with the hours calculated for you. Time Allocated to an Employee report. Shows what time all employees clocked ON/OFF Jobs #, Time spent on the Jobs for the day or for the Week, Month, Year! If an employee only booked 6 hours to Jobs for the day but was actually paid for 10 (TEN) Hours. . . . . . . . Then what happened to the LOST production TIME!

  11. Each Employee is allocated to a Task Group as to what he can and can not do. The *** indicates an employee has clocked onto a TASK he is not supposed to do! - To-date this has NOT been a problem, each employee knows what are his 2, 3, or 4 tasks that he is qualified to do.

  12. Some more Reports that are Available. Excess Time report.Shows all Jobs where the time allocated exceeds the time allowed. Action needs to be taken to make sure the problem is identified and does not re-occur. Daily Exception report.Shows all Jobs that have missing clockings. Shows who clocked onto a Job but not off a job! Take action to make sure the problem does not re-occur. Over budget Jobs.Shows all Jobs that have exceeded their monetary value. Shows the % over budget by Job and Task. These get better with time as you have the tools to measure. Shows you Time and Money. Budget 160 hours but when finished, took 240 hours Budget was R 80 000 final cost was R 120 000 50% over budget and that cost you R 40 000.00!

  16. Each Employee gets a card. This doubles as an ID. The QR code stores: The employee number. The tasks that the employees Qualified/Permitted to perform. This info is displayed on the tablet when the QR code is scanned. QR CODES are printed for all your TASKS, just like you want them. Then print QR codes for all the EXIT Codes, just like you want them. AND we give the software to print the QR codes yourselves. Two weeks later you want a Code to say LOAD TRUCK, print it and add it – It’s as EASY as that.

  17. * A number of JOB DATA TABLETS are installed at convenient points around the factory in mobile heavy duty steel “trollies” with built in battery back ups. • QR codes are printed for every JOB on your current Job Folder. • QR codes are printed for each EMPLOYEE • QR codes are printed for each TASK, • QR codes are printed for EXIT codes. THIS IS THE ACTUAL DEVICE ON WHEELS  Portable, push it to where you want to use it. Has battery back up. WiFi to the cloud. Has its own built in DataBase. So it works even if it looses WiFi.

  19. The clock stations are installed at the key locations. Now what? EXIT Codes TASK Codes T123 Cutting X36 Awaiting Material Now that you have all your the QR codes sorted out with the ”START TASK” cards on the left (the task that the employee may perform is also displayed on the tablet). T345 Welding X53 Task Complete T987 Finishing X64 End of Shift and the “EXIT REASON” cards now on the right hand TASKS & EXIT Codes are printed onto CREDIT CARD size cards andplaced on Each side of the Job costing tablet.

  20. You saw on the previous page that you can ADD and setup all your own tasks. Then you can ADD a VALUE to each Task. Now the report will show you the COSTof each Task, or at ANY stage of the Job. When the JOB is finally finished. Then you see the outcome of your PROFIT or LOSS.

  21. Typical FLOW of Events: 1. Quotation sent and now accepted by customer and purchase order received 2. Works order made out and number issued 3. QR Code label must match the works order. 4. Employee Clocks - ON JOB. Scan Employee card Scan Job Number, , Scan Task. Done. Employee Clocks - OFF JOB. Scan Employee card, Scan EXIT code- Done. ** Repeat steps 4, 5 until Job is finished. ** Do post mortem. Did you make or Loose? Analyse the results, improve, one or all your tasks for that Job, especially those over budget. Was the time allowed enough, or just not realistic? So was it the Job, or the Person? Improve. 10. Invoice & Close Job. Start again at step 1 – ADD JOB. EASY

  22. Clock “ON” a new Job. • Clock “OFF”that Job. Exit Code - + Quantity, Photo, Note • OR, stay on that Job, but just change the Task. • Job Status – Tells you the current status of all Jobs open. You can measure the pre-determined time for each Operation (Task). Now you know how many man hours are needed to complete any Job/Works order, all broken down into bite size “time” chunks. This allows you to build up accurate data over time so that you don’t under/over quote. Once you can MEASURE, you can improve, and increase productivity. The increase in production means an increase in efficiency and PROFITABILITY. This gives your company the ability to accurately measure how much TIME was taken to complete any given Work Order, versus just guessing.

  23. You can quickly and accurately highlight any excessive time taken to complete a Work Order and Who/What is consuming valuable production TIME.

  24. When you watch any Sports game, be it Rugby, Soccer, Tennis or Cricket… EVERYONE KNOWS THE SCORE! Yet, here you are running a business. NO ONE is keeping track of the score! Lets face facts, the days of CHEAP Labour are over. Labour and Materials are your most expensive outlay. What if … Cost of Materials = 50% Cost of Labour = 60% Then what? If that did scare you. . . .   25. How does the “Production Timing” system help your company? The status of all “Works Orders/Jobs numbers” are now known. Where they are in the process. (Paint Shop) What the current status is (Waiting for parts) and the reason for the stoppage. What % of the Job is currently used up. (50%) (85%) (175%) etc., What Jobs are at a standstill. “Waiting for SPARES”! Should any paperwork gets lost, the appropriate information of WHO worked on the Job is now on your PC, Dates, Times, (Repair / Warranty) etc. Guarantees and repeat re-work can be quickly addressed and resolved. NOW – you can tell how long it took to manufacture your product(s) You know the TIME and MONEY it took to complete your production run/Job Once you have this information your QUOTES will be far more realistic and you PROFIT will be accurately measured. Allows you to monitor your profitability and know the progress and status of each Job. Ensure that the jobs are completed within the expected completion date and budget. Measure, Improve, Profit. .

  26. What else can this “Production Timing” system help your company? Once you have a “Recipe” of a product, you can “Save the Recipe” Next time you have something to measure against. You know how many hours it took to do Cutting, Welding, Grinding, Polishing, Assembly, Sandblast, Paint, Final inspection, Pack, Load & Ship. You know all these things. Hours and Money. i.e. Fact – it took 174 hours = which is equal to R74 850.00. So save your “Formula” – Next time, “RESTORE” your formula, adjust it for this job, bit bigger, bit smaller. You can always lookup what you did the last time. Now you can plan around what you are doing to do this time round. Print a report of all the hours and figures. Annalise, Improve, Profit. Increase productivity If you cannot measure, you have no control. – We measure real well. *Use the past to plan the future. *, Work on Facts or stay with Guesswork! …Your choice! Accurate quotations bring in profitable business. As the Marketing executive told the board meeting. “FIFTY percept of our advertising works and the other FIFTY% does not.
