  13. Enhancements & Defects Resolved Issues Open Tasks • (D12479) Previously, when you created a new IEP Testing page from an existing IEP Testing page, the accommodations check boxes did not copy correctly. Now, the check boxes copy correctly EMIS • (D12584) Previously, the DisabilityStart Date (if changed) field displayed on Verify EMIS for any IEP or ETR. Now, it correctly displays only when the disability for a student has been changed. Completed Tasks • (D12483) Previously, IEP Effective Dates did not display to all Goal pages of a Progress Report when the report was created from an existing IEP. Now, the dates properly display. Task Queue • (D12565) Previously, teachers were unable to view tasks for their classes. Now, tasks for classes display as expected. Manage Banks • (D12558) Previously, when you created a new bank in My Banks or District Banks, duplicates were created. Now, no duplicate banks display. Enhancements Integration • (E12494) When a student is hidden in a class roster in GradeBook, that student is now hidden in SpecialServices as well. IEP Summary • (E11461) IEP forms now display by Event Date instead of Completed Date. Open Tasks • Verify EMIS performance has been improved. PDFs • The ABCpdf timeout value is now higher than the HTTP timeout value.

  14. Forms Update • Software Answers called the ODE and they are still waiting for approval from their legal department. • VENDORS HAVE NOT RECEIVED THE UPDATED FORMS • Did visit ODE 5/2017 and only had visual • Testing pages changes • Most changes are to 3rd grade reading guarantee • Have calendar year to implement, state would train on changes • Still assuming July 1st completion date

  15. Tickets/Issues • Create a Copy Instructions: • In Open Task, Select Create a New Task • Choose the same template • Keep the same Grade Level and School Year • Due Date – the next day • In Create from Prior – Choose the tasks with the error • Start Task • Print • Complete • Rename the bad copy Delete • Contact an Admin to Delete

  16. Tickets/Issues • Can’t Complete • We often see required forms removed. This results in the not being able to Complete a task. Don’t do this!

  17. Tickets/Issue • Can’t Complete • Sometimes a task does not Complete as result of a corrupted PDF file. • To troubleshoot click on the attachment. It will open with a message that states the data cannot be displayed or an error message. • The file will need to be deleted, rescanned and re-uploaded to Special Services.

  18. Tickets/Issues Icons • GradeBook Special Services Icon - When Completed Tasks are posted to the GradeBook – The icon disappears after 13 mo. • The ability to Copy by using CFE (Creating from Existing) an entire task lasts for 18 mo.

  19. Tickets/Issues Working on Student Forms • You can only open one student and one form at a time • If two users open the same form around the same time, the last one to save wins. That is why the Open By column is there in Open Task or the Lock Form on each of the pages. • If one users opens multiple students or multiple student forms at the same time, the last student form they save can copy to the other student forms opened.

  20. Tickets/Issues IISP & RISP • If a student moves into a district with an IISP or a RISP a new IIEP must be written • ISP and IEP are not the same per the ODE.

  21. Tickets/Issues End of Course (EOC) • Currently if a student is exempted from the consequences of not passing an EOC a Y will display on the Data Collection Form. • If the student is not exempted nothing is displayed on the Exempt column. • An enhancement has been added to change this.

  22. Tickets/Issues • EMIS Module • When running the EMIS Extract, if there are no errors, the file automatically moves over to the Sps Import screen. • There is no need to save this file to your desktop. • You do not have to go back to Special Services and process the file. • If anyone is interested in moving data from Special Services to DASL please contact us.

  23. Planned Enhancements 18.x Updated from the December 6th Special Services User Meeting • AdHoc Reports – Central Report Writer • New Sps Tasks – WAPS, LEP & Medicaid • Live student sync from SIS • Will allow for newly registered students to automatically flow in GradeBook/Sps in real time. • Will allow students registered in future years to have forms started • AutoSave • IEP/ETR in 18.0 • 18.1 the remaining forms • per field • Will stop multiple sessions • No Form Locking / Save and Close • Will allow for better tablet support in the future • Will also allow for more collaboration options in the future • IEPs in Parent Access 18.X
