  1. Student Ambassador Refresher Training30 October 2013 Richard Kennett Director of UK Student Recruitment and Outreach

  2. Our successes in 2012/2013 • Student Ambassadors were involved in more than 250 different events • Those events provided nearly 1500 individual work opportunities • Ambassadors were involved in work such as language e-mentoring, working with local schools on aspiration raising projects, giving student talks and staffing stands at HE and careers fairs • Student Ambassadors also worked across the University in a diverse range of roles. They included giving talks to guests of the Vice-Chancellor, providing campus tours, assisting the Residences Team with Intake Weekend, helping out on Open Days and modelling for photo-shoots and starring in videos for the Communications and Marketing Department!

  3. The role of a Student Ambassador • To represent the University of Southampton and promote its courses to prospective students, parents and teachers • To encourage young people to consider Higher Education • To support pupils during on and off campus activities • To provide mentoring to young people • To act as a positive role model

  4. Following the Code of Conduct All our roles require Student Ambassadors to: • Hold a valid Disclosure Barring Service Certificate (formally known as a CRB Certificate) • Attend all relevant training • Be aware of issues concerning Child Protection, Equal Opportunities and Health & Safety • Be professional – dress appropriately, be reliable and show enthusiasm • Ensure good time-keeping at all times • Use your initiative – for example - don’t run out of prospectuses too early at Fairs – divide the boxes up so they last for the whole event. If a taxi doesn’t arrive – call the taxi company direct to find out what’s happening. Check you have all the resources you need prior to arriving at the event. Provide us with feedback from events so we can judge their usefulness. Let us know if they were quiet or very busy and needed more Ambassadors. • Be aware of our expectations and the relevant disciplinary procedures

  5. Updates to Procedures Changes to assigning work opportunities and collecting feedback: • All applications for work opportunities will be collated and the event organiser will chose the most appropriately skilled and experienced Ambassador according to their requirements after the closing date. This will ensure a fairer distribution of work. • Feedback will also be collected from the event organiser so we can build up a profile of individual Ambassadors’ skills and work experience so we can ensure the best fit for future work opportunities.

  6. Updates to Procedures Changes to disciplinary procedures: • A “two strikes” rule is now in operation. Unacceptable behaviour includes the following examples: • failure to attend mandatory training • failing to turn up to an event or cancelling at short notice without a good reason • being late for an event • failure to ensure you are properly prepared (you will be expected to know what resources and information/give-aways you can use) • failure to follow Child Protection or Health and Safety guidelines • failure to keep contact/DBS details up to date (this list is not exhaustive and should be considered a guide)

  7. DBS Check Disclosure Barring Service • Its purpose is to keep vulnerable people safe e.g. the elderly, children, and people with learning/physical disabilities • It is a central organisation to ensure that you have no criminal convictions and are not on sex offenders register • It is your responsibility to ensure that the Recruitment and Outreach Team have the issue date and certificate number

  8. International Students • International students’ (i.e. those Ambassadors who are resident outside the EU) working hours are restricted by UKBA rules. • Only permitted to work a maximum of 20 hours per week during term time • Further information can be obtained from: http://www.ukba.homeoffice.gov.uk/visas-immigration/studying/adult-students/

  9. Lead Ambassador Roles There are now two types of work opportunities available: • General Student Ambassador Roles • Lead Ambassador Roles • Lead Ambassador roles attract higher pay as they require higher levels of responsibility for specific work opportunities, such as leading off campus workshops without direct supervision from staff. Additional training is required to become eligible for LeadAmbassador roles.

  10. Payments • Student Ambassador Roles - £6.42 per hour (£7.17 inc. holiday pay) • Lead Ambassador Roles - £8.15 per hour (£9.12 inc. holiday pay) NB: travel and set up time is paid at the standard rate • Completed pay claim forms must be submitted to the event organiser within 2 weeks of the event • Forms must be put in an envelope, addressed to the event organiser in Room 4113, UK Student Recruitment & Outreach, and handed in at the main reception desk in Building 37 • The pay timetable is available at the following link: http://www.soton.ac.uk/finance/payandpensions/salary/time.html • If your pay claim does not reach Payroll by the deadline for that month, it will be processed the following month
