Introduction • What is the Web Course Catalogue? • A comprehensive web course catalogue on the Uni web site. • Replaced the old hard copy catalogue. • Includes all Schools and Colleges. • Includes both UG and PGT courses (but not programmes). • Published automatically from PIP.
Timetable • What is the timetable for publication in 2012? • ‘Check and Update’ in Schools May to mid July • Senate Office final checks Mid July • Publication 20th July 2012

Checking • What is the checking procedure? • Each School has nominated some named ‘data checkers’. • Checkers examine the catalogue on the T4 Staging Server. • Changes are made via PIP and must be approved. • Changes, once approved, are immediately visible in the preview. • Once updates are complete, one person checks a box in PIP to say the School is ready for publication.
Suggested Approach • How should you approach the job? You should go though the list in three stages, as follows: • Check for inclusionsFirst, change what’s included and excluded – let PIP team know if anything is wrong. • Check for contentNext, change content using Amend Courses proposals. • Check for formattingChange formatting last using Amend Courses proposals.
Catalogue Checking screen • The Catalogue Checking screen in PIP • Allows you to view and manage a School section. • Ready for Publication: Tick when data is checked, updated and ready for publication.
SLP • Links with Campus Solutions Course Catalogue • Catalogue: The information in PIP is transferred to both the Web Catalogue and the MyCampus Course Catalogue. • Subject Areas: these are taken from MyCampus and can’t be changed except by application to SLP. • Codes: SLP codes will be used in the web catalogue when it is published.
Data Updates • How to update course information • There are two ways to make changes to course information in PIP: • An Amend Courses Proposal – this is the most common way to update info or • A Bulk Update Proposal – used for exactly the same change to several courses
Data Updates • Individual Course Data Updates • All mandatory fields in the document must be completed when submitting a change. • A Short Description is be required for each course. This should be short! • Make sure your courses are correctly marked as ‘Available to Visiting’ students or not. • Use Requirements of Entry to indicate enrolment restrictions. • If the course is not always available, use the Timetable field to explain.
Formatting • Formatting Tips • Don’t overcomplicate. • Let Word do the work. • Check for strange characters. • Remove white space.
