  1. NH-DI Score Room Training Session IIScore Room Staff scoring@nh-di.org or Al Simons - al.simons@nh-di.org Jim Heedles - jim.heedles@nh-di.org Beth Clark - clarknh@mcttelecom.com Jim Zawisza - zawisza@post.harvard.edu

  2. Overview: Score Room Internals Room staffing Dual detail score entry Procedures Paper flow Normal Exceptional Instant challenge

  3. Score Room Staffing Score room leader Score room co-leader (sometimes) Two data entry people One or two utility infielder(s) Checking paperwork Logging paperwork in/out shared with co-leader Schedule time out of the room If you need to go support a team, tell the leader early

  4. Dual Detail Score Entry No calculations in team challenge rooms Well, almost no calculations… More on this later We will enter each Appraiser’s scores into the computers… Twice… When the computers agree, we will print the team’s scores and send them back to the challenge room

  5. Procedures: Overall When? Except for leads, sign in time is 9:00 This is different from all other appraiser roles We’ll be working until about 5:30 (we hope!) Access to the room is limited Not a place for visiting or hanging out All paperwork is logged in and out of the room Refer anything unusual to the lead or co-lead This allows everyone else to continue processing the “normal” scores, keeping the flow going Add to the bottom, take from the top This keeps paperwork flowing in time order

  6. Instant Challenge Team Challenge and Instant Challenge have same priority. Priorities subject to change based on tournament needs We will enter IC Appraiser’s scores, exactly as we do for Team Challenge Need to associate the correct IC with each Challenge-Level (once / Challenge-Level)

  7. Morning setup Primarily lead’s responsibility Determine roles Set IC for each Team Challenge Level Each IC is a Letter followed by a number E.g. r2, r13a, a4 r = regional IC, a = affiliate IC Enter appraiser assignments Sort columns after printing Liaison's copy Liaison can’t do their job without it Both TC and IC assignments must be done IC = just enter the Appraisers’ names

  8. Appraiser Assignments

  9. Paper Flow: Normal Packet brought to room by runner Logged in to the Check-In program Scores entered twice, automatic cross check agrees Enter reasons into second computer (only) Second computer prints 2 score sheets Team Manager first Head Appraiser All paperwork goes back in packet, printed sheets on top Gets green sticker Logged out in the Check-In program and returned to challenge room

  10. Team Challenge Calculation Flow In: Individual Appraisers’ scores Out: Original packet plus HA & TM Score sheets Print Cross check scores(automatic)

  11. Score Entry: Team Challenge Arrange appraisers’ sheets in same order as table columns We’ve asked for alphabetical order Ensure appraisers are scoring the items the computer expects Appraisers must score same items for every team Enter all scores for each appraiser Remember to check for deductions, especially on the prep area form(s) Should already be on the deduction worksheet Check anyway

  12. Ex Deus Ex Machina Scoring calculator is disabled this year. Some things will be done by hand And by hand we mean by calculator There are also manual checks The guiding principal is still two pairs of eyes and two brains must agree on all scores

  13. Special Cases in Challenge A Order Completion Worksheet Two rows need to be added by calculator Total Product A count Total Product B count If the totals Match the Challenge Site totals – Enter them Don’t Match – Another person must to the math When two people finally agree, enter the totals

  14. Special Cases in Challenge E Structure Check-In Worksheet, Maximum Weight The scoring program has one limit, 75 grams Middle(50) and Secondary(25) limits must be manually verified! Set Legal Structure to 0 if limits are exceeded Weight Held Worksheet Verify the Challenge Site computed total by calculator Don’t Match – Another person must to the math When two people finally agree, enter the totals And send a note back to the appraisal team.

  15. More Special Cases in Challenge E Golf Ball Worksheet May have up to three subjective scores If more than one, they must be from different appraisers and entered in that appraiser’s column Golf Ball Count Successful hold attempts needs to be recounted/verified Weight count needs to be verified from weight held sheet Actual “count” is the lower of successful hold attempts and weight count

  16. Score Entry Form

  17. Entering Item-Specific Deductions Click on the square checkbox next to the item’s title at the left of the screen Fill in the deduction value and the reason (second computer only) Click on “OK” to close the deduction dialog box

  18. Entering “Other” Deductions Deductions are not normally editable as a safety measure. To enable: Right click in the score area Select “Modify deductions” Or, “Alt-D” for you keyboard types All deductions MUST have a reason Entered in the second computer

  19. About Accuracy and Speed We MUST be accurate in our scoring We also need to be fast Teams are waiting to pick up their scores from the Head Appraiser But not at the expense of accuracy We need to stay current with the incoming paperwork Let the lead know if there are continuing issues slowing the process.

  20. Exceptional Situations Objective scores don’t agree Deduction with no reason Zero subjective score with no reason Can’t read handwriting Missing scores Or extra scores! Anything out of the ordinary

  21. Remember the “Paper Flow”? In: Individual Appraisers’ scores Out: Original packet plus HA & TM Score sheets Hah! Print Cross check scores(automatic)

  22. Exceptional Flow (Greatly Simplified) In: Individual Appraisers’ scores Out: Original packet plus HA & TM Score sheets Out: Packet and explanation Back: Corrected packet Print Cross check scores(automatic)

  23. Dave Barry View of the Process Packet comes in Papers from wrong team Packet goes back/comes back 1st ‘puter notices disagreeing 0 subj score Packet goes/comes 2nd ‘puter notices missing explanation of deduction Pkt goes/comes Cross check fails Find mis-typed number • Print/send scores for HA/TM • HA changes score • Reprint/send • Finish challenge level • Print scores for announcing • HA comes in, asks for all scores • Changes all scores • Re-enter • Reprint…

  24. Processing Exceptions Talk with your score room leader Mark team with an Issue in the program Enter explanation in Modify Team dialog box Print Appraiser Feedback form Put all paperwork in the package Put on a red sticker Log team red in the Check-In program Return to team challenge room for correction

  25. Issues Form (Modify Team dialog)

  26. Processing Exceptions (cont.) When a red sticker packet comes back in Log it in, in the Check-In program Goes to head of the queue for the first computer It is an older packet than those we’re processing An exception to the “add to the bottom” rule Could be from A change we requested A change the Head Appraiser is requesting They can cover our green sticker with red

  27. Practice Some people will not be doing data entry Everyone should be familiar with the scoring program In case of illness, etc. If you haven’t used it, please download it and practice http://www.nh-di.org/discoring/ Questions? Email your Score Room Lead See the list on the title page
