  2. Tip: After the sound check and at the start of the training, ask participants to mute their microphones to eliminate disruptions or background noise. The host can pause at selected times to take questions and participants can use the chat window in the meantime. (or use raised hand feature)

  3. Hard-wired internet connection preferred. (no mobile devices) Headphones or earbuds for audio, but computer's internal mic often works fine. (user preference) Current Adobe Flash Player installed (required): AC may not prompt the user to download Flash, but w/out Flash the mic will not work. Close down any unnecessary applications Host and participants should login early for sound/technical check Technical Recommendations

  4. Meeting Setup Tips Re-use meeting links when working with the same group, but clear out old content as needed. Meeting details (date/time, title) can be edited for individual meetings. Change meeting access to “Anyone who has the URL for the meeting can enter the room.”

  5. Microphones & Webcams • Enabling mics in two steps: first host enables mics for participants and then participant enables their mic. • Enabling webcam in three steps: first host enables webcam, then participant enables webcam preview, and lastly participant shares webcam. • If participant or host loses their connection to the meeting, mics and webcams need to be re-enabled. • Webcam uses a lot of computer and internet resources. Meeting hosts are strongly encouraged to maintain a visual presence if possible.

  6. Sharing Resources • Files can be uploaded before meeting begins and hidden until ready to share • Powerpoint: AC may react oddly to upload request, but will upload .ppt files (workaround: save as pdf) • Video: should work using Share My Screen (open file or web browser), but participants may encounter latency/connectivity problems (workarounds: send link to video beforehand or have participants exit meeting and return after watching video)

Roles and Permissions Host(s): • we have one host user with our AC account, so you'll always need to edit your name after logging in as host • have more permissions than participants • can have multiple hosts or presenters in an individual meeting, but someone must remain logged in as host user for meeting to proceed

Roles and Permissions continued Changing role of participants: • From the Attendee View, click the name of the participant and then select a new role Note-taking and meeting management: • If you have a small # of participants and/or a simple agenda, then one host is probably sufficient for managing the meeting and simultaneously taking notes • Participants can be granted additional permission to use note pods (breakout room example)

Managing Breakout Rooms • Breakout Room View vs. Attendee View: host permissions are different in the different views; more permissions available in the Attendee View • 3 breakout rooms are available by default; can delete or add rooms based on # of participants • Participants can be manually placed in breakout rooms or evenly distributed from main room • Documents and pods visible in the main room are available by default in breakout rooms; more can be added or hidden • Participants have limited control of resources in breakout rooms (can scroll thru docs, but can't move pods) • Broadcast messages: in pod options menu

  10. Breakout Room Practice • Participant practice: What can you do in the breakout room? Do you notice any limitations? Any questions? • Host practice: • Navigate between the different breakout rooms and the main meeting room. • Try doing the things you weren't able to do as participants.

Troubleshooting Common Problems Microphone/audio problems: • Is mic enabled by host & participant? • Does adjusting mic volume on the headset, computer, or in AC settings help? • Does participant have Adobe Flash Player installed? • Is voice robot-like? Are they using Chrome? • Does unplugging mic and plugging back in help? • Does closing the meeting window and logging back into the meeting help? (must do if system freezes up) • If mic still doesn't work and training is starting, ask participant to use the chat window to communicate.
