  2. Background The Hale Koa Hotel is an Armed Forces Recreation Center operated by the Family, Morale, Welfare, Recreation Command of the US Army. The hotel sits on 72 acres of scenic property on Fort DeRussy. It was built in 1975 and has 817 guest rooms. The facility is a full service facility with a variety of amenities.

  5. Hale Koa Event Characteristics • Most of our events include food & beverage • Multiple events throughout the year • The Hale Koa Hotel has a reputation for great food, a variety of events and affordability • Family Friendly • Provides an unique experience • Satisfies our Mission

Plans & Implementation • If it is a reoccurring event does it provide an experience for the guest, is it profitable was it successful in past years • We look at after action reports, attendance, costs in food, beverage, labor, and marketing and promotion • Do we think it will still be a good event as is or do we need to change • Pick a Date that is acceptable to all or most departments involved. • Begin Planning and Coordination with one Department as the Main Contact

Plans & Implementation • Each department coordinates and works on its segment of the event and reports to the Main department in charge of the event to insure all details are covered • Marketing and promotion begins 6-8 weeks prior to the event • For sponsorship if requested for the event it can start as early as one year prior to the event • At 8-12 weeks out details such as time, cost and content are decided. Menus are also created and presented. • Four weeks out tickets go on sale and flyers, posters and press releases have been sent or placed on base and on property

Plans & Implementation • Three weeks out staff is scheduled • One week out all details and coordination is final and plans for event day are coordinated • Final Counts to the kitchen are given two days prior and every detail is final. • Depending on the size of the event set up may began 2-4 days prior (though most of our events are set the day before due to our business)

Food & Beverage to Accent Event • Most of the events at the Hale Koa have some sort of food and beverage • Food and Beverage are a big factor for guest attendance • Some events use a theme where food and beverage are matched with a specific theme • - Oktoberfest (our largest event) • German Cuisine, Beer and Schapps • - Cinco DeMayo • Mexican • - Salute to the Military Luau • Hawaiian and Local Foods typical for a Luau • - Thanksgiving • Turkey with all the trimming • - St Patrick’s Day Events • Corn Beef and Cabbage, Potatoes, green beer, Irish Whiskey

Smaller Specific Market Events • Hale Koa Room – Hale Koa Hotel’s Signature Restaurant Wine Dinner Events • Enhance Guest frequency • Education • Experience • Exclusivity • The dinners were created to bring guests in on the week days while providing a chance for guests to experience specialty wines • Menus are created to match the specific wines • Theme is created – Sipping Sideways, Woman Power, Fond Farewell to the Cork, Thunder Down Under
