  2. Heading • The heading gives the writer’s address and the date. A comma is placed between city and state. • It should be on the LEFT side.

  4. Inside Address • The inside address gives the name and address of the person or company you are writing to. • If the person has a title, include that too.

  6. Salutation • The salutation is always followed by a colon • :

  7. Dear Sir or Madam: • Dear Mr. Harris: • To Whom It May Concern:

  8. The Body • The body states the purpose of the letter. • Facts are given in a brief, logical way. • Make your message clear and brief.

  9. Closing • The formal closing is followed by a comma. Only the first word is capitalized.

  10. Sincerely, Thank you, Yours truly,

  11. Signature • The writer’s name is typed four lines below the closing.

  13. Call to Action • States what action you would like your reader to take next • Reinforces your request • At the end of the body of your letter • Stated positively and politely (Your reader is more likely to respond favorably!)
