  3. Project Timeline • 18-month staged implementation • Began June 2003 • Full implementation is set for Fall 2004 • Phases follow regular intervals as processes are turned on to meet the Fall 2004 target • Each phase has IUIE deliverables

  4. Project Organization • SIS IUIE Project Team • SIS Core Module Representatives • Business Analysts • Local Implementation Team (LIT) • Follows same organizational standards as the rest of the SIS project

  5. SIS IUIE Project Team • These are technical and functional staff members who will develop the new ROs for SIS • Consists of full-time and part-time assignments from all of the primary departments • UITS • Registrar • Bursar • Financial Aid • Institutional Research • Currently about 10 FTE

Core Module Reps & Business Analysts • SIS Core Module Representatives • Representatives from each module: AA, FA, SF and SR • Communication between project team members and us • Business Analysts • Representatives from every module’s primary department: Registrar, Financial Aid, Bursar, Advising, Admissions, Institutional Research and one “at large” member. • Communication between their departments and us • Help set priorities

  8. IUIE Project Scope • Implement the DSS tables • Determine RO Scope • Filling gaps within PS • Recreating important reports from legacy • Delivering Report Objects on the phased release schedule • Departmental Extracts • Training

Implementing DSS Tables • Reporting Database Service (RDS) Service purchased from PeopleSoft • Consultants on site for 3 week engagement during late Feb. – Early March • Creation of 230+ datagroups • Denormalized tables, built for reporting • Copied from other universities who had previously bought the service • Built using the Informatica ETL tool • Provided a huge jump start to our reporting effort • Tuned and modified for use at IU

  10. Determining RO Scope • Filling PS Gaps • Fit/Gap analysis of the PS product revealed areas where the IUIE could resolve gaps • Approach papers were written • Important Legacy Reports were identified • Inventories of legacy reports were created • SIS Executive Committee approved the scope

Inventories of Legacy Reports • This is a picture of 20+ years of reporting • Core Team Reps w/ SIS Project team support created them • Obsolete items were removed • New items were added • Each report was rated as to criticality and complexity • Estimates were prepared by technical staff for critical reports using complexity as a guideline. • Estimates were reduced by half.

  13. Inventories – High Priority Hours Estimates at 50% • 11,462 for Financial Aid • 7,780 for Student Financials • 1,760 for Academic Advising • 5,789 for Student Records • 29,088 Total Hours

Inventories - Continued • Mappings between legacy data sources and RDS tables were produced • Items with similar mappings were grouped together • Groupings were analyzed for similarities • Estimates for numbers of new datagroups (not in the RDS), PDQs and frozen files were created for each module. • It appears that the 50% factor of objects is accurate. • The number of PDQs is lower than expected • The number of datagroups and frozen files make up the remainder

  16. Departmental Extracts • Pulls data to local environment for manipulation, reporting or population of departmental system. • Accomplished through an ODBC + VPN connection to the Data Warehouse • Departmental accounts • User controlled

  17. Departmental Extract Customers • Users have been identified • FTPs from mainframe were inventoried • Users were asked to self-report • Users have been notified • Timelines • SSN is no longer a key field • Data formats will change

  18. Training • To be conducted by SES Training Team • Short IUIE session will be included in each module’s pre-go-live training for each phase of the release • Longer IUIE hands on session follows each phased release • Audience is selected by need

  19. Working Through the Phases • Phase I work complete • ROs for App Fee and Course Catalog • Phase II work • due for testing on 9/11 • Implementation on 10/11 • ROs for Schedule of Class, Test Scores and Xfer Credit • Phase III work begins now

Next Steps • Continue working through deliverables for each of the phases • Approach Paper projects • Reports from legacy • Implement into production the RDS tables that are need for each phase, tuning as necessary. • Assist departmental users with data extract conversions • Assist SES Trainers develop IUIE training materials
