WP1 activities • Overall legal, contractual, financial and administrative management activities, including • Production of the contractual reports • Obtaining audit certificates by each of the partners if required • Compilation of the meetings organised and the reports produced by the project • Project external presence • Web presence • Presence at meetings organised by EC • Production of dissemination information requested by EC • Communication within the project • TWiki web site (also used for external communication on the project activities) Françoise Genova, EuroVO-ICE coordinator,3
Project management • Light, simplified management structure to focus on project activities • Number of partners kept to a minimum but ESA, GAVO and SVO participated actively • No formal project kick-off (M1) and Liaison (M4) meetings, but • the project begun immediately on the basis of the contractual DoW, with a functional web site, and the formal Project Plan was provided, also based on DoW (although late) • an Interdisciplinary proposal was set up for Call 9, and reciprocal participation in meetings was ensured with « neighbouring » disciplines • Regular contacts between the coordinator, partners and participant projects to assess activities and discuss strategy • The activities have been performed as foreseen. All deliverables have been submitted. Most formal deliverables delayed, but no impact on the project. All milestones except the formal M1 and M4 milestones achieved but M1 and M4 aims also achieved. Project extension • Required when proposals not accepted, formal request 18 July 2011 • Postponed the final deliverables (WP2, WP5) to the end of the project • Added deliverables linked to technical co-ordination at European and international level (WP4), which is one of the main aims of the extension Françoise Genova, EuroVO-ICE coordinator,5

External presence and internal communication • Logo and web address secured during negociation, as required by EC • TWiki site available on 3 September 2011, plus Euro-VO for SAC and tutorials and « AIDA WP5 » for education and outreach material • Participation in the 8th e-Infrastructure Concertation Meeting and several meetings organised by EC on invitation • Production of dissemination information as required Françoise Genova, EuroVO-ICE coordinator,7
Use of resources (1) • As foreseen, resources were used only for travel to meetings of interest for the project and logistics for organising meetings • Some money left to support second year activities, including one SAC meeting. Complement and manpower provided by the partners when required • Year 2 IVOA meetings: India, USA • The NEF portal is not yet open (pending signature of the amendment) but we are ready to fill it ASAP.
