The rosters appear differently in EdPlan during the Summer School implementation due to the Federal State and Compliance requirements. Only students who failed a subject are enrolled in a subject area course if they did not meet promotion standards. Other enrichment students were placed in homeroom rosters in Chancery. • Use all rosters to inform the release of tests in the system. • Note : Homeroom rosters are found in the miscellaneous folder in the system. • You will need to release all tests to all rosters to ensure you are getting all of your students. • You can release multiple tests to one roster. • If test has not been released then the test cannot be scanned because it will not appear in the scanning application. Releasing a test assigns the test to a student for testing (online or print) and scanning. • Individual students who came into a class after the test has been released to class can be added in the Student Tracking tab. • Release • Login to EdPlan Pre-slug • Print course and homeroom rosters of all Summer School students from Chancery. This will assist you in identifying who to pre-slug answer documents for. • Select the correct form for each test. For summer school post-test, PreK-1st grade will use PCG Plain Paper Form 50-large and 2nd -8th grade PCG Plain Paper Form 120. If an individual user uses the wrong form, they can reset the form for the test and override the existing form designation in the system. One user can affect all other campuses. All campuses that scan after a test form has been changed will scan and have inaccurate data. Please choose the form designated above. • When printing choose set paper handling or scaling to “none” or “actual size.” Do not select fit or shrink to page. This will shrink or enlarge the image and the location of the bubbles will be off. This will cause the answer documents to scan incorrectly. Make sure your scanner and the scanner’s TWAIN drivers are installed properly. Download the latest PCG assessment tool from the EdPlan Solution Center if you have not already done so. Before scanning make sure you have released the test to all of the students that you would like to scan for. Black and white scanner thresholds should be updated as indicated in the Scanning Reference Defaults documents. Double check the answer document was printed using the correct paper scaling by pre-slugging and printing one document with the correct paper scaling and holding it to the light and comparing it to the answer document trying to be scanned. The “L” on the corners or timing marks should match as well as the bubbles. The user should look at the loading tray and ensure the paper is being loaded correctly on the tray. The correct test should be selected to match the test being scanned. After scanning the documents, if the documents have been scanned correctly, the students’ names should be highlighted in blue. Any student highlighted in pink has an issue with double bubbles and/or erasures. The user should double click on the answer column to investigate further which questions was double-bubbled. This will cause a pop-up window to emerge. The user can override a double- bubble answer in this window. Any error message should be reported to the EdPlan team. Scanning Reporting User may not know what to select in the filter (usually test level or language). If unsure, user should select all. User may not have closed previous report and as a result user will not be able to see newly developed reports. User may have improper internet option settings selected that are preventing reports from being created.
