Duties & Responsibilities VP • Preside at all meetings of the club and board of officers in the absence of the president • Collect all monthly reports of committees and submit to secretary • Present a report on committee progress during board of officers meetings • Become familiar with all officer positions
Duties & Responsibilities VP • Recruit and retain members • Conduct educational programs as assigned by president • Assist the president in any way he/she sees fit • Maintain files on club committees that include things like work accomplished, members, projects, budgets, and timelines
What makes a Good Leader? • We will separate you in groups • Draw what you consider a Good Leader (Vice President and President) • You need a speaker to present and explain your drawing • You have 10 Minutes
SEC. Duties & Responsibilities • Maintain all records of: • Club membership • Club directory • Dues payment • Service hour totals • Committee activity • Meeting Attendance • Document club activity through board & general club meeting minutes • Complete and submit all Monthly Report Forms to the District • Submit club articles to The Capital Courier and Circle K Magazine • Forward all registration forms for club participation in District and International events • Actively correspond with the District Secretary/ Treasurer
SEC. What Counts as Service? • Service Hour = 60 Min of unpaid service • Travel Time = Time spent in travel to a service project • Service Project Preparation Time = Time spent coordinating a particular service project • Actual time planning the project • Coordinating a project w/community agency • Getting project supplies • Volunteer training
SEC. What DOESN’T Count as Service? • Travel time that includes meals, social, overnight stops or going to an event that is not service based (Conferences/Conventions) • Any service projects not approved by club board • Service projects that are not opened up to entire membership • Administrative hours (time spent doing officer work, making copies)
SEC. Why Report Service Hours? • So we can measure growth and progress. • We can see whether our total service hours are increasing or not and see if whether we need to work harder at increasing the service we do • Also see if we are continuing to grow and improve as a club/district/organization from year to year, etc. • To motivate others to continue to do community service • We can promote healthy competitions/challenges which encourage more members to get involved/join in the service as well as motivating already active members to further increase their service and involvement. • We see what a large impact we have on our communities, regions, and even the world! • We can use this to encourage people to join our organization and become a part of our CKI family and it can help visualize the positive difference that each of us is a part of!
SEC. Minutes Before the Meeting: • Type & Title of Meeting (CKI: Lend a Helping Hand) • Date • Meeting Location • List of club officers, committee chairs, advisors, Kiwanians, other guests • Note # of members/non members
SEC. Minutes During the Meeting: • Make sure that you use bullets • Make sure somebody not in the club can understand the minutes • Note start time • Record time and exact wording when motions are made/votes occur • Vice President Betty motions to fundraise at Cici’s at 2:14PM.
SEC. Minutes After Meeting: • Type minutes up (in Word) in a timely fashion • Make sure minutes are typed and sent in less than 2 days • Send board meeting minutes to: • Club board, Faculty and Kiwanis Advisors, Lieutenant Governor, District Secretary-Treasurer • Send membership meeting minutes to: • Membership, club board, Faculty and Kiwanis Advisors, Lieutenant Governor, District Secretary-Treasurer
