  3. Obtain Publications data from academic staff and bibliographic databases Regular correspondence (email) with departmental staff requesting the submission of new publication information. Regular searching of library databases for departmental publication information Use the Discovery search the Library databases Access the Library Help Screens Or If unsure how, ‘Ask a Librarian’. Publication Coordinator Responsibilities

Enter Publications Data into Themis Full bibliographic details of each University publication need to be entered into Themis Some starting documentation: Publications Classifications Guidelines Assists in identifying different types of publications Themis Publications Quick Reference Cards Provides simple step by step guidelines for entering publications Themis Publications User Guide A comprehensive guide to entering and managing publications Publication Coordinator Responsibilities

Each Publication entered will be check by your departmental Academic Liaison Officer The ALO Will: Check that the data entered is correct Check that a publication is classified correctly A publication may be referred back to by the ALO for alterations Coordinate With Your Academic Liaison Officer

  6. Publications Coordinators are required to retain a copy of each publication for 3 years You can choose to keep publications records in hard or soft copy Only keep copies if you are the Owning Department Maintain Departmental Publications for Audits

The Publications Harvest is an automated upload of publications from external sources – Thompson/ISI, Scopus and others Publications data is imported to your workbench Publications Coordinators check details and add research codes Past publications can also be added to Themis using the Harvest process Harvesting – Uploading Publications

  8. Each publication requires at least one FOR (Field of Research) and one SEO (Socio/Economic Objective) code. Codes can be searched for and entered in the Publications Module Comprehensive listing of FOR and SEO codes Coding Publications – FOR and SEO Codes
