This document summarizes the key points discussed in the APE meeting held on October 18, 2011. We emphasized the importance of accurately tracking timesheets and avoiding Undistributed Time (UDT) unless absolutely necessary. Significant infrastructure upgrades and new lab instruments were addressed, alongside a discussion on performance reviews and the need for standardization in evaluations. Additionally, we reviewed safety training compliance and the upcoming need for a new hire to replace a departing employee. Collaboration and improved tracking methods, such as utilizing SharePoint for project management, were encouraged.

APE meeting 10/18/11 • Timesheets: Try to track accurately • APE management (no-project meetings): 7751601 • APE Standard Service (computers, software, lab supplies, safety training): 7751603 • APE U/G: significant infrastructure upgrades (major lab instruments, new data acquisition systems) 7751609 • APE UDT (Undistributed time): Only if you have nothing useful to do (none of us should be using this): 7751602 • Jim Turner’s Dump / FEE stuff – charge our labor to 7720214, other stuff to specific accounts • For PD shifts, use 7723301 global controls (I think – still under discussion). • Apes charge $150/hour. Keep in mind when comparing purchases and labor
Other Items • Performance reviews • Will need to normalize reviews to some mean and standard deviation (exact values under discussion) • I will fill out the individual categories with absolute numbers, then adjust the final result mathematically to get the required averages. • APEs are substantially above average, so adjustments will be for lower numbers. • Tell me what can be done to improve things (some of you already have). • Lab Equipment: what to have here, what to have at PEP? • New hire to replace Nate – few applicants. • Project database: Use SharePoint (expanded?). Something else? Need some way to track who is doing what. • Safety Training: Thank you for keeping up to date.
