Applicant Upgrade • New School Jobs website released last Nov. • Module upgraded from IBM Lotus Notes/ Domino to Microsoft ASP.Net • Much easier now for applicants to apply for specific vacancies • LEAS using Vacancy Permit process can easily determine who applied for a specific vacancy • New module has reduced number of support calls and enhanced user experience • Enhanced Applicant Search feature added in LEA module to help find candidates faster
Reporting Tool 2010 • Work is in progress to convert old HRMS Client Reporting Tool to ASP.Net • New module has reduced number of support calls • LEAs should be using new tool to run all reports except the few not yet converted • New Reporting Tool has improved online Help • Question Marks throughout tool link users to Help document
Reporting Tool 2010 • Reports rewritten so far: • Continuing Education Reports • Employee Listing • Licensure Report • New Hire Report • SS-200 and SS-300 Reports • Substitute Listing • Contracts and Cover Letters • Contract Non-Renewal Letters • License Renewal and Expiring License Letters
Reporting Tool 2010 • Reports to be released soon: • Teacher Turnover Information • Beginning Teacher Report • NCLB Reports • Paraprofessional Report
Public Records Law Changes & HRMS • New Public Records law took effect 10/1/2010 • Section 18. (b), 115C-320 • Now LEAs must track: • Date and type of each promotion, demotion, transfer, suspension, separation, or other change in position classification • Record of the date and amount of each increase or decrease in salary with that local board of education • HRMS Staff Action module being re-engineered to facilitate compliance with Public Records Law and to provide more robust functionality
New Leave & Suspension Modules • Released new Leave/Disability module last Fall and new Suspension module in May • New data fields added to capture information needed for Public Records Law • System tracks if Suspensions were for disciplinary reasons, and if authorized by Board of Education • LEAs can create, modify, extend, end, or cancel Leaves & Suspensions • Historical information is logged with each action • LEAs have online access to view complete historical information for Leaves & Suspensions
New Separation Module • Currently in progress (LEA 6.3) • New tracking of Separation information needed for Public Records Law • If employee is dismissed, system will track: • If for disciplinary reasons • If dismissal was authorized by local Board of Education • If employee resigns in lieu of dismissal, will track whether resignation: • Was result of disciplinary action that had been initiated • Was done with consent of LEA Superintendent
New Separation Module (cont’d) • New Staff Action Console for single employee • New Staff Action Search form • LEAs can create, modify or cancel Separations • Historical information will be logged with each action • LEAs will have online access to view complete historical information for Separations
Future Enhancements • HRMS Centralization • More Staff Action Upgrades (LEA 6.4) • New Public Records Law Also Requires Tracking Promotion/Demotion/Salary Change information • Move Remaining Reports to Reporting Tool 2010 • Professional Development • Personnel Directory • EEO-5 • Create New Public Records Information Report • Legislative changes • SBE Policy Changes to CEU credit requirements
Tracking Promotions, Demotions & Changes in Salary • Assignment forms will begin tracking Promotions, Demotions & Salary Changes • Add Assignment form will track Rehires • Transfer form will track whether voluntary or non-voluntary (administrative transfer) • Standard Public Records Information Report will be added in new Reporting Tool • Plan to include Board Report option
