  1. IPCRECLASS training Reclassification in the IPC Geneva February 26, 2013 Patrick Fiévet Head of IT Systems Section

  2. Agenda ¨* means demo • Terminology Working lists, Results Lists… • IPC reclassification • IPCRECLASS in the reclassification workflow • Various communication strategies in IPCRECLASS • Prerequisite administration for offices • Options to perform IPC reclassification through IPCRECLASS* • Administration aspects * • Monitoring of work progress* • Some error cases and scenarios (e.g. SOM)* • Reference information location

  3. Terminology ¨References: http://www.wipo.int/ipcreclassification/ • MCD: Master classification database for IPC • Reclassification- Patent documents-automatic /intellectual- • Symbol: IPC symbol as per WIPO standard ST.8 • Working list (WL): IPC Reclassification “to be done” • Results List (RL): IPC Reclassification “response” • Error List (EL): “response” problem or warning • IPCRECLASS on line help • And others e.g. Stages in IPCRECLASS on-line help

  4. IPC reclassification ¨highlights: • Reclassification for the purpose of IPC revision only • The reference source is the MCD but reclassification goes through IPCRECLASS • Per-project WLs with several families to reclassify • Reclassify onedocument on behalf of the family • In WL symbols are at document and family level • In RL symbols are considered only at family level

  5. MCD@EPO WLs(*) IPCRECLASS RLs RLs IPC reclassification web site WLs * Complete or after automatic reclassification IPCRECLASS in IPC Reclassification workflow IPC revision master files «Off-line » Office

  6. « Esp@ceNet MCD@EPO WLs(*) Interactive reclassification IPCRECLASS RLs IPC reclassification web site * Complete or after automatic reclassification IPCRECLASS in IPC Reclassification workflow IPC revision master files «Interactive» Office

  7. IPC revision suggestions list servers Revision of edition N+2 RIPCIS E-forum Templates Early access to edition N+1 transformations MASTER FILES IPCPUB Static IPC statistics PDF MCD @EPO IPC bridge IPCA6TRANS IPCCAT IPCRECLASS Map of IT resources for IPC Publication of edition N

  8. IPCRECLASS communication strategy ¨Essentially email based: • As soon as possible feedback by EMAIL • Make sure your office email address is up to date in IPCRECLASS • Access to IPCRECLASS log by office • Email notification to office + MCD • WL+ RL publication in the IPC reclassification web site

  9. Prerequisite to use IPCRECLASS ¨Make sure you have: • A rapporteur login+password for your office: xxRAP01 • An up to date email address in IPCRECLASS • Know the protocol for email based submissions of RL (see http://www.wipo.int/ipcreclassification/ )

  10. IPCRECLASS constraints Convention format and filenames: • Strict file name convention for RL files prevents upload of the same RL file twice • Only tag format for symbols in XML RL files

  11. 3 IPC reclassification options Share the same controls in IPCRECLASS: • Off-line RL submission through email • On-line interactive • On-line import of RL files

  12. IPC reclassification options Off-line reclassification • Download WL or export WL from IPCRECLASS • email based submission of RL files • Fully automated processing of email submission • Strict protocol for email (title, attachment names,…) • Strict respect of RL XML file format required • « IPCRECLASS Reclassified OK » does not necessarily mean « MCD Reclassified OK »

  13. IPC reclassification options On-line interactive* • WL shows document and family symbols to be reclassified (highlighted in yellow) • Not always possible to consult in espacenet the document referred to by the MCD WL • Some ST. 8 fields symbols automatically filled-in • At least one reclassification symbol is needed to mark the reclassification as completed • Automatic de-activation of the old symbol upon this action

  14. IPC reclassification options On-line import of RL files* • Strict respect of RL XML file format required • Feedback sent by email to the concerned office • Accept what can be marked as « Reclassified OK » • Rejects « Reclassified not OK IPCRECLASS» • « IPCRECLASS Reclassified OK » does not necessarily mean « MCD Reclassified OK »

  15. Monitoring of work progress Overall status report: “report tab”* • Use filters to customize views • Per project • Office work is completed when « document to reclassify » shows 0

  16. Monitoring of work progress Detailed status • Result list tab for « Reclassified OK » • Working List tab + global reclassification status filter for any type of « Reclassified NOK »

  17. Some error cases and scenarios • Offline submission of a RL with invalid symbol • Access to the log for the concerned office

  18. http://www.wipo.int/ipcreclass/en/log/errors Error notification for RL submission by SE

  19. IPCRECLASS_errors_SE_210213.txt * • Reference Document: MCD Error and Warning Reports “IPC symbol invalidsymbol does not exist” “document sequence number” “date and time at which error or warning was generated” E001%SE%1150261%A1%2013-02-21-17.26.28.000000% M16H48/20%2012-01-01%A%L%N%2013-02-21%H%SE “document country code” “document kind code” “ST.8 Symbol”

  20. Notification of successful RL submission by SE

  21. Stage 1a to Stage 1b notification*

  22. Some special cases • Transfer of responsibility (by IB) to another office • Stage 3: only IB can do the reclassification using default transfer (not yet implemented) • No easy means to undo wrong submissions

  23. Special Operations Mode (SOM) e.g. during upload of WLs by WIPO

  24. Reclassification in the IPC IPCRECLASS • Suggestions for improvements to IPCRECLASS: to IPC-IEF project CE446 • QUESTIONS? contact WIPO at claims@wipo.int
