  1. Voicemail message indicator This will light up if you have a message in your voicemail box It will flash when you receive a call Line Buttons You can press the line button before dialling out Height Adjuster Allows you to adjust the height of the telephone Soft Buttons Refers to the 4 buttons. The functions of these buttons change depending on the operation the phone is performing. Navigation Button This up/down button is used to scroll the phone display whenever a multi-choice menu is presented. Directories Displays different directories: Missed Calls Received Calls Placed calls, etc Messages Press this button to access your voicemail box Settings These are individual phones settings that the user can change e.g. contrast and ring type Volume You can adjust the handset, speaker and ringer volume Speaker Allows you to conduct hands free 2-way conversations Mute You can mute the caller; the caller cannot hear you but you can hear them Headset To be used in conjunction with a headset Basic Features

Audio Features Changing the Handset, Speaker and Headset Volume • During a call, press the Volume button to increase (+) or decrease (-) the volume of your Handset, Speaker or Headset • To save the volume setting, press the Save soft button Adjusting the Ringer Volume • While the phone is not in use, press the (+) and (-) Volume buttons to adjust the volume to the desired level • To save the volume setting, press the Save soft button Changing the Ringer type • Press the Settings button • Use the Navigation Button to scroll to Ring Type • Press the Select soft button • Use the Navigation Button to select Default Ring and press the Select soft button • You will see a selection of ring types (26 in total) • Press the Play soft button to hear sample rings • Press the Select soft button and then OK to choose the ring type • Press Exit and the Save soft button Mute a Call • During a call, press the Mute button (this will allow you to hear your caller but your caller cannot hear you) • Press the Mute button again to disable the mute function NOTE: When using the Mute function with the Speaker, lifting the handset will disable the Mute function

Basic Call Functions Placing a Call (Dial ‘0’ to get a line out) You can make a call with the IP Phone in any of the following ways:- • Lifting the Handset • Pressing a Line button • Pressing the Speaker button • Pressing the Headset button • Pressing the Directories button Answering a Call You can answer a call on the IP Phone in any of the following ways:- • Lifting the Handset • Pressing the Answer soft button • Pressing the Speaker button • Pressing the Headset button NOTE: There is a distinctive ring for internal and external calls Ending a Call You can end the current call by:- • Hanging up the Handset • Pressing the End Call soft button • Pressing the Speaker button Placing a Call on Hold You can put a call on hold by:- • During a call, press the Hold soft button (the held call will flash on the screen) • To return to the call, press the Resume soft button NOTE: You can answer other calls while a call is on hold. Use the Navigation button to scroll between held calls.

  4. Soft Button Functions Transferring Calls You can transfer a call to another phone either as a ‘Blind’ or a ‘Consultative’ transfer • During a call, press the Trnsfer soft button. This places the first call on hold • Dial the number to which you want to transfer the call to. Then perform the relevant next step:- • When you hear ringing, press Trnsfer again or simply put the handset down. This is called a blind transfer, the caller is now ringing at the other phone. OR • Alternatively wait until the called party answers, announce the call and then press Trnsfer or simply put the handset down. This is called a consultative transfer as the caller is not put through until the new destination agrees. • If the called party declines to take the call, have them hang up (or press the End Call soft button) then press the Resume soft button to return to the original call

  5. Soft Button Functions Call Pickup Call pickup allows you to answer a call that comes in on a phone other than your own. When you hear an incoming call ringing on another phone, you can redirect the call to your phone by using the call pickup feature. There are two types of call pickups available on Cisco IP Phones:- • Call Pickup allows users to pick up any incoming call • If you hear another phone ringing, lift the handset and press the more soft button, then the PickUp soft button and then the extension number of the ringing phone. The call will be diverted to your phone. • Group Pickup (If this feature has been configured for you) allows users to pick up incoming calls from multiple groups. • If you hear another phone ringing in a pre-configured pickup group; lift the handset and press the GPickUp soft button, then dial the relevant group number. The call will be diverted to your phone.

Soft Button Functions Making a Conference Call To turn a call into a conference call (3 callers) (NOTE - first two parties are a normal call):- • During a call, press the more soft button and then the Confrn soft button. This will give you dial tone and place the other party on hold • Place a call to another person you want to include • When the call connects, press Confrn again to add this person to the conference call Conference Call Tips • To end a conference call, just hang up and this disconnects all parties • To place a conference call on hold, press the Hold soft button (the other parties can talk among themselves but they cannot hear you) • To mute the conference parties so they cannot hear you but you can hear them, press the Mute button • To place a conference call on speakerphone, press the Speaker button

  7. Other Soft Button Functions Call Forward All Calls Allows you to forward all your calls to another destination. To set Call Forwarding: • Press the more soft button and then the CFwdALL soft button. You will hear a confirmation beep. • Dial the number to which you want to forward all your calls Dial the number exactly as you would if you were placing a call to that number (dial ‘0’ to get a line out if it is an outside number) • Press the # button or End Call soft button The phone display will be updated to show that the call is forwarded and the number it is forwarded to. To cancel Call Forwarding: • Press the more soft button and then the CFwdALL soft button NOTE: To Call Forward to Voicemail, press the more soft button and then the CFwdALL soft button and then the Message button. Press End Call to save the change

Other Soft Button Functions Speed Dials If this has been configured, this allows you to access the system-wide speed dials • Press directories button • Using the Navigation button, highlight Local Speed Dial • Press Select soft button • You will see the list of speed dials that have been programmed into your system • Press the Navigation button to highlight the entry • Press Dial soft button to dial the number

Expansion Module allows the user to see the status of the telephones in the company. • Show the Cisco IP Phone model number. • LCD Screen Displays the extension number or name of the extension user. The icons indicating line status appear and function the same as those on the Cisco IP Phone 7960G • Fourteen lighted buttons Each button corresponds to one line. The light beneath each button indicates the state of the corresponding line, as follows: • Line available: light off • Line in use by you: light steady green • Line in use by someone else: light steady red • Line ringing: light flashing amber • Call on hold: light flashing green • Call is being transferred: light steady green Transferring a Call • Press Trnsfer soft button • Press the line button of the extension you want to transfer to NOTE: This method of transferring is known as a ‘blind’ transfer. There is no opportunity to announce the call. Adjusting the display contrast On the Cisco IP Phone 7960G:- • Press settings button • Select Contrast and then press Select • Select Expansion Module(s) from the Contrast menu • The Expansion Module 1 Contrast screen appears

  10. Call Park Call park allows you to place a call on hold so that it can be retrieved from another phone in the system. During a call, press more soft button and then Park soft button. This will automatically place the call on hold. The phone display will give you the system number location for the parked call. To retrieve your call from Call Park, press more soft button and then the PickUp soft button, then dial the call park number and you will be connected to the caller. Paging/Broadcasting This will enable you to page another person(s) within the company via all phones. Dial 650 Wait for your call to be connected Once connected speak into the handset/headset to page/broadcast Additional Functions
