  2. mission • The Office of Development and Alumni Relations engages donors, alumni, friends, parents, faculty, staff, and students in a lifelong relationship with UD and fosters a tradition of philanthropy to strengthen the University’s legacy as one of the great public institutions of higher education in America.

  3. Demographic information • The Office of Gift Planning has 16,000 prospects of possible donors consisting of alumni, friends, and parents of alumni • An outside agency was hired to gauge their target population and their ability to give • Information taken from the university’s database in 2009 • Currently has 534 members of it’s Carillon Circle • Carillon Circle consists of anyone who has included the University of Delaware in their Will or through any other planned gift

Policies & procedures • Everything that is done by the Office of Development and Alumni Relations is in consideration of what is in the best interest of the University and in alignment with the strategic vision, Path to Prominence • Commitment to designing integrated donor and alumni engagement strategies, fostering a constituent centric culture, focusing on core strategic regions, environment of communication, collaboration and transparency • Foster a culture of mutual respect where the individual perspective is encouraged and the collective contribution to the department’s overall success is valued above all else.

Governance • The Senior Director of Gift Planning is usually the governing decision maker for the office. • Martha reports to the Associate Vice President of Development, Beth Brand. • Beth reports to the Vice President of Development, Monica Taylor who reports to the President of the University. • There are guidelines in place that must be followed upon acceptance of a gift. All of the above people are involved in the signing of gift agreements, etc.

  7. Funding • Funding comes from the University’s budget office • The department is given a specific budget each year and must operate within that budget • While the department itself, raised approximately $12million last year, those funds are divided among specific units based on the wishes of the donors • The department never receives funding or grants for its own use

  8. Relationship to other agencies • The Office of Gift Planning works in connection with all areas of development on a consistent basis • All of the gifts are designated to the various colleges throughout the university, which are: • Alfred Lerner College of Business & Economics • College of Agriculture & Natural Resources • College of Arts & Sciences • College of Earth, Ocean & Environment • College of Education & Human Development • College of Engineering • College of Health Sciences • Athletics • UD Libraries

Strengths, trends & challenges • Strengths: • The 2 Directors of Gift Planning are able to generate large dollar gifts each year • They are both very knowledgeable in what they do • They have a great recognition system in place for donors • Challenges: • The need for more staff in order to reach the many prospects that the organization has • Update marketing materials (currently being developed) • More outreach to current donors

Intern’s role • Administrative tasks (letter composition, meeting assistance, filing, editing, presentation creation) • Database assistance • Developing budgets and monitoring expenditures • Marketing and community outreach • Other universities’ planned giving department structure • Carillon Circle newsletter writing, coordination, production • Participation in Office of Gift Planning report updating project • Estate administration • Contact college/department newsletter “publishers” to inquire about the availability of adding Carillon Circle info in the publications
