What needs to be done ? • The referential in matters of safety for Linac4 is the Safety File which dates back to 2008, https://edms.cern.ch/document/905423/1 • This document needs to be updated. • At the same time, the contents will be reorganized according to the new safety folder template, https://edms.cern.ch/document/1162935/2 This template is based on the work done for the HiRadMat project (e.g. the descriptive part, https://edms.cern.ch/document/1145711/3)

Contents of the safety folder • The safety folder is composed of 4 main safety files (separate documents) : • Descriptive part • Demonstrative part (Risk Control Measures) • Operational part • REM part (Records, Experience, Monitoring) • The aim is to ease the production and updating of the safety documentation, as well as the retrieval of the information. • The contents of the safety folder is meant to evolve during the lifecycle of the project and of the facility.

  4. Descriptive part This part can be brief with maps, drawings, references documents, short descriptions of each system (including schemes and pictures), • Goal & motivation • Location & vicinity • Technical description • Civil engineering and shielding • Beam line • Transfer line to PSB • Safety systems • Infrastructures (including ancillary systems) • Project phases and organization • Operation phases • Dismantling phase & disposal

  5. Demonstrative part • Hazards inventory : • Risk analysis • Risk control measures Joint effort by safety officers, equipment and project experts, HSE

  6. Operational part • List of the safety-related or operational procedures with the links to the documents.

  7. REM part (Records, …) • Lessons learned relevant from the safety point of view (references to inspections, deviations, actions taken, …). • For examples : • Unexpected equipment or beam behavior, • Observed deviations from safety rules or procedures, consequences and possible new safety measures, rules or procedures.

  8. How will we proceed ? • Each system responsible will be contacted to review the short description of the system and the hazards generated (based on the safety file from 2008 and the work package description). • To be completed and approved by end of April 2012 • Risk analysis – control measures • To be completed and approved by end of May 2012 for the 3 MeV part of Linac4 • To be completed and approved for end of 2012 for the other parts

  9. How will we proceed ? • Safety and operational procedures shall be prepared and approved prior to the commissioning and operation phases. • To be completed and approved by June 2012 for the 3MeV part of Linac4.
