  1. Microsoft Exchange POC • Evaluation Results and Recommendations

Background • In June 2008, Information Technology (IT) presented a comparison of email solutions to the Strategic Technology Executive Committee and requested approval to move forward with a Proof of Concept (POC) for migrating faculty, staff, and students from GroupWise to Exchange. • IT charged a technical team to: • Create a test environment for 200 users • Evaluate the full integration of Exchange Labs for students and • Exchange on Premise for faculty and staff. • The POC was to include an evaluation of basic, advanced, and • specialty features, i.e., Windows Messenger, mobile accessibility, • unified messaging, encryption, etc. • The test environment was established with grants for hardware from IBM and Dell. Dell also provided services to assist with the setup of the test environment.

Evaluation Results • Students • Of the 100 students who were invited to test Exchange Labs, • 66 completed the testing of the basic e-mail features with satisfaction ratings ranging from 65.1 to 93.9% • 64 completed the testing of the advanced features with satisfaction ratings ranging from 54 to 81.3% • Faculty/Staff • Of the 156 faculty and staff who were invited to test Exchange on Premise, • 40 completed the testing of the basic e-mail features with satisfaction ratings ranging from 84.2 to 94.8% • 32 completed the testing of the advanced features with satisfaction ratings ranging from 75.9 to 93.5% • Very few faculty and staff tested the specialty features, but those that did were mostly satisfied

Exchange POC Issues 1) Integration issues with Exchange Labs and Exchange On-Premise 2) Provisioning, Account Management, & Authentication 3) 3rd Party Address Book Integration (ULH, UPA, etc) 4) Password Restrictions 5) Client issue 6) Message Waiting Indicator delays on phones 7) No encryption between Exchange On-Premise and Exchange Labs

  6. Recommendations • Migrate students (except HSC) to Exchange Labs after the following conditions are met: • Successful testing of new release of Exchange Labs • Successful testing and implementation of Microsoft’s ILM v2 • Migrate Faculty, Staff and HSC students to Exchange on Premise after the following condition is met: • Implementation of Active Directory for entire university • Retain currently hosted FrontBridge solution for spam-filtering • Encourage ULH and UPA to move to Exchange on Premise to ensure full integration of 3rd party address books, calendars, etc.
