  1. Alabama 21st Century Community Learning Centers LEA Continuation Application Instructional Guidelines FY 2012

  2. The Basics • Grantees completing their first (1st) year – Cohort 8 will need to submit a Continuation Application. • As with all federal funding applications, the process must be submitted via the State’s eGAP electronic system.

  3. The Basics(Continued) • The Continuation Application deadline is September 23, 2011. • Though the Continuation RFA is much abbreviated, LEA’s must follow the Chain of Command required by eGAP.

  4. The Basics(Continued) • Therefore, timeliness throughout the process must be observed. • Failure to submit the application by the due date may jeopardize funding status.

The Application • The major focus of the Continuation Application is to address any type of substantive change that may have occurred since the inception of the original funding. • Is the LEA remaining true to the original intent of the initial Grant Proposal? • Therefore, it is highly recommended that the grantee re-read the original application in its entirety to ensure complete familiarity with the purpose the program was originally awarded funding. • The 21st CCLC Grant is a competitive process, and grantees are awarded the grant based on what they propose to do.

The Application(continued) • The LEA, after having reviewed each component of the original Grant Application, must address any type of change which has occurred and include these changes in the first text box of the Continuation Application. • Such revisions should include, but not be limited to some of the following: • Goals/Focus • Curriculum • Staffing • Activities and Scheduling • Partnerships • Budget (thorough and comprehensive with corresponding updated forms – uploaded to eGAP Related Documents) • Sustainability plan

The Application(continued) • In the second text box, grantees must address the progress made towards their goals and objectives. • Grantees must detail their overall and ongoing evaluation plan. It should include the following: • The tools utilized • Ongoing curricular/activities adjustments made due to assessment outcomes • How and to whom are the results communicated • Finally, grantees must address what changes are being made with the project during the 2011-2012 school year to continually improve the program.

Related Documents • The Continuation Application is not considered complete unless all pertinent Related Documents are uploaded accordingly into Related Documents of the eGAP system. • For the purpose of the Continuation RFA, the following are needed: • Updated Budget Summary Form • Updated Budget/Expenditure Detail Form • Line Item Budget Detail • Updated Staff Summary Sheet • Updated Inventory Listing • Each of these forms are attached to the Continuation RFA announcement email, and uploaded to the Alabama 21stCCLC Web site at www.alabama21stcclc.info
