  1. The purpose of this guide is to help People Managers: • Change an existing OPR meeting • Delete an existing OPR meeting • Create a new OPR meeting • Execute OPR meetings

  2. Step 1: Change an Existing OPR Meeting

  3. Access: People Manager Actions: Change an existing/ OPR meeting Steps: Click on Create / Modify Meetings

  4. Actions: Change an existing OPR meeting Steps: Type the Year, Title, Description and Date of the existing OPR meeting. Select the Meeting Type: Local, Regional, Functional, Zone, or Global. Click Search .

  5. Actions: Change an existing OPR meeting Steps: Click on the Title of the OPR meeting your would like to edit.

  6. Actions: Change an existing OPR meeting Steps: Edit the Year, Type, Title, Description and Date of the existing OPR meeting. When you are done with your changes, Click Save .

  7. Step 2: Deleting an Existing OPR Meeting

  8. Actions: Delete an existing OPR meeting Steps: Type the Year, Title, Description and Date of the existing OPR meeting. Select the Meeting Type: Local, Regional, Functional, Zone, or Global. Click Search . Click on the Title of the OPR meeting your would like to delete.

  9. Steps: Once you have selected the existing OPR meeting, Click on the Delete button ATTENTION Be certain that you want to delete a meeting before you select this option. All information will be lost!!!

  10. Step 3: Create a New OPR Meeting

  11. Steps: To create a new OPR meeting, click Create / Modify Meetings

  12. TO CREATE A NEW MEETING Steps: To create a new OPR meeting: Complete the meeting information: Year, Title, Description and Date. Select the Meeting Type: Local, Regional, Functional, Zone, Global or Visualization* Click New on the bottom left side • Standardization - Title of Meeting: • Always start with the Zone (APAC, CEE, GHQ, LAN, LAS, NA or WE) • Unit (Brewery X, Region X, ZHQ, etc) • For the ZHQ include the function (sales, supply, people, etc). • Name of the meeting (use a name that is easy to identify the audience of the meeting) • IMPORTANT! • Newmeetings will be automatically seen by the Zone and Global talent Management Team. • *“Visualization” meetings are not editable, this meeting type should be used only to view results. Don’t forget to click SAVE when you are done

  13. ADD PARTICIPANTS TO A NEW MEETING Steps: To add participants to a new meeting click Add Employee Note: Meeting participants are the employees that the managers will discuss/rate during the OPRmeeting.

  14. ADD PARTICIPANTS TO A NEW MEETING Steps: Search for an employee by Global ID, Name, Position, OPR rating, Band Level, Location/Unit, or Function. Enter the information and click Search. When you find the name of the employee, check the box next to their name and click Save Detail: You can not include employees who are already assigned to another meeting, inactive or located in a different Location/Unit. TIP! If you want to delete someone from the meeting, uncheck the name and select Save. TIP! If you do not include any filter information and select Search, all the possible names in your Location/Unit will be listed.

  15. ASSIGN A FACILITATOR TO THE MEETING Steps: Provide access for the People Team member who will facilitate the OPR meeting. You cannot assign an employee who is not in your Unit.

  16. ASSIGN A FACILITATOR TO THE MEETING Access: Search by the employee’s Global ID or Name. When you find the name of the employee you want to include, select the name and click Save. Detail: You can not assign a facilitator who is already in the list. You can only assign a facilitator who is in your Location/Unit Attention Only give this access to the employee who will facilitate the meeting (usually a People rep). It is not necessary to assign the manager. The manager can view his/her employees without facilitator access. Don’t forget to click SAVE when you are done

  17. Step 4: Execute an OPR Meeting

  18. GUIDELINES FOR EXECUTING AN OPR MEETING STEP BY STEP OVERVIEW • Confirm that all employees in your Unit are listed. Generate a report with your Unit name and active employees. The system will generate a list with all employees listed in your Unit. • Create the OPR meeting. • Schedule the OPR meetings. • During the meeting, assign someone to update the OPR website (note-taker – usually a People rep) • After rating each of the participants, use the option GRID to see who is allocated in each rating and adjust if necessary. Then go to the option SHAPE to view the comparison between the Ideal and Real Shapes. • Define the actions and timeline for each meeting. • Prepare the Succession Plan (ready now, 1-2 years and 2+ years). Employees can appear more than once in the Succession Plans.

  19. Action: Select an OPR Meeting Steps: Under OPR, select Execute Meetings. Click on the name of the OPR meeting you want to execute.

  20. Action: Review, print profiles, update ratings and actions for the OPR meeting participants. TIP! You can group and ungroup selecting +ID for all the participants individually. Meeting ungrouped. Attention that now you have the symbol (-) to re-group.

  21. Step: Select the name of the employee to access their profile. TIP! The profile can be printed by selecting right-clicking the mouse or selecting the Print option at the right bottom of the page.

  22. Steps: Complete the OPR rating, OPR action, timing and comments. Detail: You can see the preliminary OPR rating assigned by the line manager and ratings from earlier meetings (if applicable). Only the fields of the current meeting will be available to update. The previous OPR ratings are recorded for tracking purposes. You can not change the previous OPR ratings. ATTENTION In the Comments field, you must add the information discussed during the OPR meeting for each employee. TIP Your comments should include the “Four A’s”: Achievement, Ability, Ambition, and Alignment. ATTENTION For 4A, 1A and 1B ratings, you must include a deadline.

  23. General Information Click on GENERAL INFORMATION to verify the Gender, Time in Company and Time in Position for the employees evaluated in this OPR meeting . If necessary, you can click on the Back button to return to the list of employees and view each employee’s profile meeting to check out more information.

  24. Overview Click on OVERVIEW to view the employee distribution by rating. If necessary, you may change and save the ratings in this tab. TIP: You can search for employees by band level! Just select the band level in the drop-down and click Search.

  25. Shape Click on SHAPE to verify the distribution of ratings. Only review SHAPE after completing the OPR ratings, required notes/deadlines, and have validated the GRID. You must complete the PCS (Problem/Cause/Solution) There is a action plan (PCS) available that should be completed anytime there is a gap between the Ideal Shape and the Real Shape. Important! Don’t forget to click Save.

  26. Succession Plan Click on SUCCESSION PLAN to complete the succession plans for the OPR meeting. Select the position and name of the employee for the succession plan. Only employees with OPR ratings of 4A, 4B, 3A and 2 will be available. Select the timeline for each specific position/name (Ready Now, 1 to 2 years, or More Than 2 years). Click the (+) to add a line or click the (-) to delete a succession line. Important! All employees rated 4A and 4B should be included in the succession plan. Add/Delete a line
