Email Basics • Send mail electronically via the Internet • Requires an account on a mail server and supporting software on your PC • The username and password will allow you to access your account • All e-mail programs allow you to Send, Compose, Reply, and Forward mail • You will need an e-mail server (post office) in order to send & receive e-mail • You can get free accounts: • www.hotmail.com • www.yahoo.com • www.gmail.com etc ইমেইল বেসিক

  4. EMAIL UNIT • Email is fast, easy and much cheaper than using the post office. • You can send or receive personal and business-related messages with attachments, such as pictures or formatted documents. You can even send music and computer programs. ইমেইল বেসিক

How Email works on the Internet • Like a postal address, an e-mail address specifies the destination of an electronic message • An e-mail address looks like this: username@domain name • The user name is a unique name that identifies the recipient. • The domain name is the address. Many people can share the same domain name ইমেইল বেসিক

How Email works on the Internet -2 • E-mail is sent and received through electronic "post offices" known as mail servers. • To read your e-mail, you must retrieve it from the mail server. • Once you enter the address of the recipient, compose your message, and click Send, your e-mail software handles the delivery ইমেইল বেসিক

  7. Anatomy of an Email message • To: contains the e-mail addresses of the recipients. This is a mandatory entry. • CC: short for Carbon Copy. This is optional. • BCC: short for Blind Carbon Copy, contains the e-mail addresses of other recipients who receive copies, but their names and addresses are hidden from the other recipients. This is optional • Subject: contains the main topic of the message. Keep this brief. Recipients see this in their summary of incoming e-mails. • Attachment: contains the names of files that you may be sending, for example, a word-processing document or a spreadsheet. • Body: contains the message itself ইমেইল বেসিক

Accessyour e-mail • First, log on to the site by entering your account name and password. • Now you can read your messages, send replies, forward messages, and send and view attachments. • Most services offer online address books to store your e-mail addresses and contact information. • You can also set up folders to manage your messages. ইমেইল বেসিক

  13. How Email Works • The model that works best for email is the Client-Server model. • Clients carry out user interactions with the email server. ইমেইল বেসিক

How Email Works Clients • Forms in which clients appear: • Application based - these are installed onto user’s machines and include Microsoft Outlook and the freely available Outlook Express and Eudora. • Web based - these appear in a web browser’s window and include Hotmail, Yahoo and Outlook web client. ইমেইল বেসিক

How Email Works Clients-(2) • Clients vary greatly in functionality, but all provide a basic level of functionality that assists the user. • Basic functions include: • Ability to create new emails. • Display and store received emails. • Hold address lists of contacts, a calendar, journal and other extra functions that help organize the user’s working day. • The client is also configured with the account information and names or IP addresses of the email servers with which it will be communicating. ইমেইল বেসিক

How Email Works Servers • An email server is typically a combination of processes running on a server with a large storage capacity – a list of users and rules, and the capability to receive, send and store emails and attachments. • These servers are designed to operate without constant user intervention. • Should process emails for months as sending, receiving and maintenance tasks are carried out at scheduled times. The client only has to connect to the email server when it sends and checks/receives new email. • Sometimes it may be permanently connected to the server to allow access to shared address books or calendar information – this is typical of a LAN-based email server. ইমেইল বেসিক

How Email Works Servers -2 • Most email servers conduct email services by running two separate processes on the same machine. • One process is the POP3 (Post Office protocol 3) server, which holds emails in a queue and delivers emails to the client when they are requested. • The other is the SMTP (simple mail transfer protocol) server that receives outgoing emails from clients and sends and receives email from other SMTP servers. • These two processes are linked by an internal mail delivery mechanism that moves mail between the POP3 and SMTP servers. ইমেইল বেসিক

  18. How Email Works Servers -3 • When the client calls the email server to send or check for mail it connects to the server on certain TCP/IP ports: • SMTP on port 25 • POP3 on port 110. ইমেইল বেসিক
