  1. Order Inquiry RLM System

What is Order Inquiry? • Customer Orders that arrive in RLM (either via EDI or Data Entry) can be viewed using the Order Inquiry function • Order Inquiry may be done in a variety of ways, using Account, Customer PO, Bates (internal control) number, Style or a combination of the above • No changes may be made to Orders from the Inquiry screens. To change an order, contact the EDI and/or Data Entry department(s) • In addition, Order Inquiry links to Pick Ticket/Invoice Inquiry as well as to Inventory Inquiry (by style) (Skip to Main Menu)

  3. Glossary of Training Terms • The following terms will be used throughout this training program: • Field: A line on the screen into which you enter information • Value: The information (data) being entered in the field. Example: Division number, FGPO number • Click: Also “Select.” Hitting the left mouse button once. This will place your cursor into a field • Tab: Using the tab key to advance to the next input field • Return: Moves you back one screen. Will also return a selection (F2 key) • Exit: Closes the program and returns you to the menu (F3 key)

  4. Using the RLM System • These are the primary RLM icons you will use: • Search: Located next to entry fields. Clicking this icon brings up a pop-up window with a list of all possible values for the field (for example, the next to the Division field will show a list of all divisions) (Shift-F9 keys or F21 key) • Select: Located on the Search pop-up windows. You may click on a line and click Select to return its value to the main screen • OK (Submit): Located in the bottom right corner of each screen. Processes the information on screen and brings you to the next screen • Return (Back): Located at the top of each screen. Click this icon to go back one screen (F2 key) • Exit: Located at the top of each screen. Click this icon to return to the menu or close a pop-up (F3 key)

  5. Sign On Enter your User ID and Password here Note: User ID and Password are assigned by MIS. The password IS case-sensitive. Click OK

  6. Welcome Click OK

Enter the application number for the “Salesmen Inquiry” menu or click the correct button in the menu at left Enter the application number for the menu or click the correct button in the menu at left Select Application Enter your company number If you don’t enter a Company or enter the wrong number, you will receive this error: Click OK

  9. Order Inquiry Options Click on a button above to jump to that inquiry selection screen. All selections eventually lead to the individual Order Inquiry. Click anywhere else on the screen to just go to the next slide

  11. Order Inquiry by Bates Number Enter the Division Number here Enter the Order Control (Bates) number here Enter the Store Number (optional) Search options are on next slide Click OK to view the Order

Inquiry by Bates: Search Options To Select a Division click this icon: The screen will change to Select Division To search by Order Control (Bates) number click Enter the Account or PO number and press the Enter key to search the list Double-Click the correct order, or select the line and click Click OK to view the Order

  15. Search for Customer Account Click the arrow to open a search window Common Searches are “Account Name” …or “Account #, EDI Alpha Store”

Customer Search Options Double-click a line to select… Search for Customer by Name …or first enter a search value and press Enter to search the list Double-click a line to select… Search for Customer by Account Number, EDI Alpha Store …or first enter a search value and press Enter to search the list

  17. Sears PO Special Search In RLM, Sears PO numbers consist of the store # + the PO #. However, Sears’s Shipsmart system uses the DC # instead of the store, so our PO does not match theirs. To find a Sears order, type the last six digits of the PO into the Customer PO field (e.g. 258033) Example: Sears PO # 08780258033 (DC 8780) - RLM PO # 01001258033 (Str 1001) - RLM PO # 02453258033 (Str 2453) Note that all the POs for all the stores on the Sears order ending with those six digits will appear. Enter a store number to find a PO for a specific store Continue with summary listing of POs

  18. Customer Order Summary Screen Double-click a line to select and view the Order If Account Number was entered without a Customer PO, a list of POs will appear. Entering a customer PO number will show only the requested PO

  20. “Status of Order” Inquiry Enter Division, Customer # Enter either Customer PO# or Control/Bates# Click OK

  21. Order Inquiry for all Stores Double-Click any line to display the invoice or pick ticket

  22. Display Invoice (F12) Click Return to go back

  24. Entire PO Inquiry Enter Division and Account # You may (enter a season –optional) and press F9 to display all orders for a customer or… (Search for Account: F6) …enter either Customer PO# or Style# to find a specific PO Select Units (default) or Dollars Click OK

  25. Alpha Search for Customer (F6) Double-Click a line or… …Type the start of the account name and press Enter to search the list

All Orders for Season or Group (F9) Select a line, then press Order/All Stores Pieces (F9) to view Summary of Order by Style Select a line, then press Order/All Stores Pieces (F9) to view Summary of Order by Style Or double-click a line to view the Order Click Total by PO# to switch to Total by Store view (F6 key)

  28. Order Inquiry Display by Style If you typed in a specific PO or Style number this screen appears: Double-Clicking on any line on the Summary PO screen brings up an options menu (next screen)

Click elsewhere on screen to reveal descriptions Displays previous Screen in USD (button changes to Units from the USD screen) Displays Order by Style/Color in USD Displays Selected Order in Units Displays Order Inquiry Replaces Pick Ticket column with Reserved column Displays Size Breakdown or Prepack info on Summary Screen Bypass All Options Slides

  37. The Order Inquiry • The next slides deal with the Order Inquiry itself, which is the end result of most of the preceding selections • Function keys on the left sidebar allow further inquiry to Pick Tickets, Invoices and Inventory

  38. Order Inquiry Display The basic order inquiry screen has header info and details which can be drilled into: Header: Order #s, Ship to, Bill to Header (cont): PO #s, Dates, Terms, etc. Details: Style, Color, Units, Status Double-Click a detail line to view more details

  39. Order Inquiry Display – Multiple Stores IMPORTANT! Notice the “Number of Stores for Ctl #). This screen is only the order summary for ONE (1) store. There may be multiple stores on the order Click “Next Customer Order” (F9) to see the next store on the order To see a summary of all stores for a PO, go to “Entire PO Inquiry”

  40. Order Special Instructions Select a detail line and click the Order or Line Special Instruction buttons to view the notes Click Return to close the popup

Order Status and Event Codes • Status: • O: Line has Open units • P: Line has Pick Tickets • R: Line has Reserved Inventory • S: Line has Shipped • w: Order Line is in the Allocation Workfile • W: Order Line has been Allocated • C: Order Line has been cancelled • D: Order Line has been deleted • Event: • PTINV: Invoiced • PKTPT: Pick Ticket Printed • MANI: Manifested • EPICK: Ended Picking • SPACK: Started Packing • EPACK: Ended Packing

  42. Detail Inquiry Display Click “Next Line” to view the next line on the order “More Keys” available here 00A styles will display units by size here Click the button with an invoice number to display the invoice inquiry

  43. Additional Functions Click “Customer Item” to view the Customer’s style number Click Return to close the popup Click “History” to see the changes made to this order

  44. Order Maintenance History Click “Toggle Details” to show more information, including the User who made the changes Click Return to go back

  45. Availability by Size Select a detail line and click “Display Sizes and Availability” to view Ordered vs. In Stock, On Order and WIP Click Return to close the popup

  46. Appendices • Bulk (Contract) Order • Inventory Inquiry (F6 from Order) • Pick Ticket/Invoice Inquiry (F7, F8 from Order)

  47. Bulk (Contract) Order Bulks are denoted by “CONTRACT ORDER” in the Ship To area Units are total for all stores/orders on the bulk

  48. Order Inquiry Select a detail line to check inventory, pick tickets or invoices Click “Display Invoice” for the invoice (Status must be PTINV) Click “All Picking Documents” for pick ticket inquiry Click “Complete Inventory Status” for inventory inquiry for the selected style
