  1. Leadership Transition Campus Activities and Leadership

  2. Quick Reflection • New officers: • What are you most worried about when it comes to running the organization? What do you think you need to know? • Retiring officers: • What are all the things you wish someone had told you before you started? Schedule time to actually have this conversation with each other!!

  3. Plan a Retreat or Social Gathering • Make sure to have an informal introductory setting for new members to ask questions or get to know outgoing leaders • Make sure to talk about responsibilities, expectation, and answer any of their questions • This can be a short meeting or a full day retreat depending on the needs of your organization and the new leadership

  4. Current Leadership Responsibilities • Give the following to new executive members in either a binder or show them where to find the info in CollegiateLink • Constitution • Copy of Advisor Form • Copy of Budget request and allocation • Copy of Inventory • Copy of previous advertisements, event planning documents, and important paperwork • Outline on how to schedule events and spaces • Procedure for requesting funds • List of important contacts

CollegiateLink Updates • Make sure your new leaders are familiar with how to use CollegiateLink; then: • Update the organization’s roster • Update the officers • Confirm that all important documents have been uploaded for easy reference • Update website links, descriptions, and other important info

  6. Further Responsibilities • Current executive members should: • Provide a timeline of how previous events were created. • Provide old ideas that were not used but could be useful for future years. • Give personal stories on what works, and possible obstacles that could be faced.

  7. Job Descriptions • Make sure to outline not only the specific positions, but also the responsibilities associated with that job. • Provide clear examples of past duties, and experiences for each position. • Provide this info well in advance of elections so that folks understand what will be required/expected

  8. Recruitment • Start Early!!!!! • Make sure to have executive leadership in multiple years. • Recruit first year students as early as possible. • Have a welcome event, or social gathering to create a positive atmosphere for the club, and encourage members to further their participation. • Stay Positive! • Make sure to network to find out who would be best for the job, and who is willing to put in the effort. • Promote previous executive members to higher positions. • Hold your elections at the end of the fall term or during J-Term so that new leaders can shadow the outgoing ones during the spring

Shadowing If you don’t have the ability to overlap your leaders during the spring, then • Spend time before the transition having new executive members shadow current leaders • Spend time explaining the expectations • Provide hands on experience for what the individual will have to do in the future

  10. Constant Contact with CCAL • Make sure that future leaders begin a relationship with members of the Campus Activities team • Schedule a meeting for new and outgoing leaders with JJ Boggs • Have them become familiar with how the office functions and the best times to come in

Responsibilities of New Leaders • Help with the transition process by being proactive. • Take the initiative to obtain the clubs history, and procedures before older members graduate. • Create a folder, or organization system that can store the important history of the club. • Make sure to have an updated list of members, and contact information. • Learn about the important contact people in CCAL, and for specific events relevant to the club. • Update website and CollegiateLink information.

  12. Quick Tips • Develop a mentoring program • Develop leadership notebooks or use CollegiateLink to store and track valuable resources and planning documents • Maintain contact with previous leadership members; they can provide insight into obstacles and ideas for future • Involve your advisor in the transition; he or she can be instrumental (especially for continuity and consistency)
