Recognition Process Annual basis per CSU E.O. 1006 (FALL) • SLL verifies President & Treasurer: • 2.0 GPA Each Term • Limited to 150 units, or 125% of major units • Limited to 50 units, or 167% of major units (Graduate) • In good standing with the university (Conduct) • Constitution on File • Membership Roster (min. of 5 members) • Recognition Agreement & Bank Forms (Signed by Advisor)

Student Org Responsibilities • Regularly pick-up mail in student organization mailbox in USU 3600 • Maintain an active programming calendar of events • Maintain open membership and leadership • Send appropriate representatives to the annual Student Org Leadership Conference (SOLC) or Student Org. Workshop(s) • Fiscally be in good standing with the University • Properly transitioning your incoming officers

Travel Procedures • Domestic Travel Steps: • Notify your SLL coordinator • Each student traveler must have completed the online “Release of Liability Form” and “Student Conduct Agreement” PRIOR to travel • This form will be emailed to presidents at the start of each semester • E-mail a scanned copy of Participant waiver document to the University Police Department • If travel is funded or includes a significant percentage of members participating visit VPSA for additional paperwork: http://www.csusm.edu/studentaffairs/travel/links/travelthrusa.pdf

Liability and Indemnification Forms for Guests • All members of the organization must complete electronic release of liability waiver and student code of conduct form. • Hosting minors and off campus guests (speakers/vendors/exhibitors) must receive approval prior to the event. • Indemnification forms must be completed by all off campus guest prior to arrival.

SLL Item Request Form • Request must be submitted 3 business days in advance • Recognized orgs can check out items such as: A-Frames, tables and folding chairs, cash boxes/cash bagsetc. • Returning items late or broken will affect your organizations opportunity to check items out in the future. • Organizations will be held liable for lost or damaged items.

Fundraising Weeks! • Requests will be managed on a monthly basis • Each organization that is selling food or drinks will need to complete the CSUSM Food Handlers Training (ETC) September 2019 Sept. 9-13TH October 2019 Oct. 7-11TH November 2019 Nov. 12-15TH Campus Closed Mon. Nov. 11th February 2020 Feb. 11-14 March 2020 March 16- 20TH April 2020 Apr. 13-17TH May 2020 May 4-8TH

  15. Selling Items • Organizations can sell anything as long as it is appropriate and doable • Can’t sell the same items (first come first serve) • Guidelines for food: • Can be store bought • Can be prepared on campus • Can NOT be homemade • Can NOT do raffles

  16. Registration Process/ Cancellation Policy • 1. Choose the item you will sell. • 2. Fill out the form to register online. • 3. Look at the confirmation email (sent after the registration period ends). • 4. Look at your spot number for each day of your registration and locate it on the arcade layout. Cancellation Policy: • If you will not be able to fundraise for whatever reason you can cancel 24 hours before the registration window closes. • You may change the days you want to fundraise or what you will be selling 48 hours before the registration window closes. • Please be fully prepared to participate before registering! • Repeated cancellations/no shows will affect your participation in the future

  17. Cash collection must happen with a cash box. The cash box should never be left open or unattended. Cash boxes are available free of charge at SLL, USU 3600. • Separation of duties must be maintained. Deposit counts must be verified by a second person. • Deposits are made within 24hours to Cougar Central. If the Cashier is closed, you can deposit the funds in the overnight drop box outside of Cougar Central. • If you are collecting cash for fundraising weeks, you cannot be serving food. • Ticket Sales, Student Organizations must use: • Eventbrite • Crowd Change (Greek Leadership Council) Cash Handling

Electronic Payments • The use of electronic payments (square, cash app, venom, paypal, are prohibited! • Why? • Liability • Routing of funds • Tracking payments • Electronic payment applications can only be used if connected to an organization account. The only student organizations that are allowed to have off campus organization accounts are those with a 501c3 status; as their accounts are monitored by their national/umbrella organization leaders. • Electronic payment applications should never be used connected to an individual or group members’ personal account.
