Why Croatia? • Very much established and attractive conference destination(s) • Very rich infrastructure: • many places/hotels where conferences are organized on a regular bases • many nice places for dining, great Mediterranean cuisine • great places for social events: boat tours/ numerous islands / historical attractions • Solid experience in organizing international conferences, e.g.: • Grindelwald, CH: Pixel 2010 and Phase I CMS Pixel Workshop 2012 • Split:LHC days in Split (11 times), Physics at LHC 2008, 13th European Conference on Accelerators in Applied Research and Technology 2019 ... • Dubrovnik: Nuclear Structure and Dynamics 2009, European Fusion Program Workshop 2017, Ion beams for future technologies 2019 ... • Topics of the conference is of a great interest for the local scientific community • Ruder Boskovic Institute (RBI) activity 1) CMS Tracker operation;2) Large EU Structural Funds project will allow large infrastructure improvement, including new detector laboratory, clean room (200m2), and new Tandem accelerator, 3) CMS pixel group growing and responsible for building a part of CMS Phase 2 endcap pixel modules • Helps to increase visibility of local HEP community internally and internationally • Attract students to our field from Croatia and neighboring countries • Local expert support: RBI organized conferences regularly, there is a group in the institute with duties toprovide assistance for local organizing committees

VERTEX 2019 in Croatia - Our Proposal • Dates: October 13-18 • Arriving on Sunday 13th • Leaving on Friday 18th • Sessions from Monday morning to Friday noon • Driving motivation in the search for venues: more quiet setting, encouraging communication between participants • Two possible venues, both on Croatian islands • Island of Hvar near Split • Island of Lopud near Dubrovnik • Common to both options • Islands: quiet and relaxed setting • All participants can be in one place, ideal for communication and networking • Weather usually still nice in mid-October and sea still warm enough for swimming • Well connected airport nearby • Also some difference between 2 options, see later slide

LOPUD ISLAND On the western side of Dubrovnik, in its immediate surroundings there is the finest Dubrovnik archipelago called Elaphite (in Greek meaning the Deer Islands), closely bound to Dubrovnik and its entire past. With more than 2584 sunshine hours per year, Lopud is an island of true Adriatic summer feel. It is full of Mediterranean and subtropical vegetation, amazing cypress and pine parks and citrus gardens. Its beauty and uniqueness are inversely proportional to its size. Considering the area of 4.63 square kilometers, we can easily say that the beauty here is overpopulated. Lopud island has 11.5 km of coastline, of which 1.20 km are marvelous sandy beaches. Since no cars are allowed on the Island, it makes it a natural paradise where you can truly unwind and relax while exploring its superb ambience. The island has one settlement, on the far side of the island towards Šipan, which is regularly served by Jadrolinija ferry lines. 1st option: Lopud

  13. 2ndoption: Hvar HVAR ISLAND Hvar belongs to a group of Middle Dalmatia Islands and is considered the sunniest Croatian island, with an annual average of 2726 hours of sun. It has been famous since the antique because of its important strategic and nautical position, the rich of the various historical periods, the culture and natural monuments and the literature. Hvar's culture and heritage is under UNESCO protection Thanks to the mild climate, the warm winters and pleasant summers Hvar receives many guests, scientists and travellers, who are attracted by the dense mediterranean nature, culture tradition and arhitecture.

  18. 2ndoption: Hvar EXCURSION Boat trip around Paklinski islands The Pakleni or Paklinski islands (about twenty islets) are located right opposite the town of Hvar. The name of this tiny archipelago comes from the word "paklina", which is the pine resin once used to coat ships. The chain of islands is approximately 10 kilometres long, formed of limestone. This archipelago is the most beautiful part of the Hvar riviera and has numerous bathing places and a myriad of small, secluded bays with crystal claer sea.

Differences between the 2 options HVAR LOPUD • Longest Croatian island with several villages, top tourist spot • Small city of Hvar 10 minutes walk from Conference hotel • Shops, restaurants, bars, … • Former Venitianharbour, castle • City of Split can be visited on the way to the Conference • Former roman site, Diocletian palace • Smaller island, can be toured walking • More quiet setting, nature and sea, whole island is car free • Few dining options in village outside of hotel • City of Dubrovnik is close (1 hour boat trip)

Participant Costs Estimated conference fee: ~ 450 EUR Fee will cover Meeting room & equipment Welcome reception Coffee breaks Conference dinner All lunches All dinners Social program (excursion) Dinners could be removed if preferable would reduce fee by ~60 EUR Many dinner options in Hvar only a few on Lopud In addition to fee participants will need to cover: Travel (including bus from airport & ferry to conference venue: ~ 10 EUR each way) Accommodation (see next slide) In case the VERTEX IAC decides to accept our proposal we will apply for conference support from national sources, which may allow to reduce the fee

  22. Proposed Timeline decision on dates of Workshop: January/February decision on venue, topic list: February/March ready with web-site, poster, workshop announcement: April(bulletin 1) registration: open June and close mid July invitation letters to selected speakers: End of July (bulletin 2)

Plan for Proceedings • Publish in Proceedings of Science (PoS,  pos.sissa.it).  • Schedule: • Deadline for paper submission: December 4, 2019 • Deadline for paper review: January 30, 2020 • Peer Reviewing options • the local organizing committee takes care only about technical aspects but IAC is finding reviewers and distribute papers • peer reviewing is full responsibility of the local committee with help from IAC, e.g.  ~2 papers per IAC member and help if needed to find more external reviewers The local organizers are ready to take responsibility if the IAC wishes

Conclusion • The Croatian HEP Group at RuđerBošković Institute would be delighted to host the VERTEX 2019 Conference in Croatia • Long term successful experience in organizing international conferences and workshops • This would mean a great encouragement for our starting activities with tracker detectors • Croatia has a lot of tradition of hosting international events and conferences and we believe that the 2 proposed venues offer an excellent environment for the next VERTEX conference
